As a back office executive, you will be responsible for providing administrative support to ensure the efficient operation of the office. You will support managers and employees through a variety of tasks related to organization, communication, and data management. Your duties may include handling inquiries and correspondence, maintaining files and records, coordinating schedules, and performing other administrative tasks as assigned.
Responsibilities:
Data Entry and Management: Input, update, and maintain accurate data in computer systems and databases. Ensure data integrity and security.
Document Handling: Manage and organize documents, including scanning, filing, and archiving. Retrieve and distribute documents as needed.
Correspondence: Respond to emails, letters, and phone calls in a professional and timely manner. Handle inquiries and redirect them when necessary.
Schedule Coordination: Arrange meetings, appointments, and travel arrangements for managers or executives. Maintain calendars and schedules.
Record Keeping:
Maintain and update records and databases, including personnel records, financial records, and inventory lists.
Report Generation: Prepare reports, presentations, and documents as required. Compile data and generate reports for analysis.
Communication: Liaise with internal departments, clients, and vendors to coordinate activities and resolve issues.
Administrative Support: Provide general administrative support to managers and employees, including photocopying, faxing, mailing, and ordering supplies.
Quality Assurance:
Review and verify data for accuracy and completeness. Identify and correct errors or discrepancies.
Compliance: Ensure compliance with company policies and procedures. Adhere to data protection guidelines and confidentiality policies.
Requirements:
Education:
A high school diploma or equivalent qualification is required.
Experience:
Previous experience in an administrative role or similar position is desirable. Familiarity with office management software and equipment is an advantage.

Proficient in Microsoft Office suite (Word, Excel, Outlook)
