Back Office / Sales Support Executive
to assist sales, operations, and client coordination activities.
1. Position Overview
The Back Office / Sales Support Executive will support sales, documentation, client communication, quotation preparation, and complaint handling. The role requires excellent coordination skills, especially with clients like Tata Steel, and strong efficiency in handling AMC/ARC documentation and manufacturing-related back-office tasks.
Prepare quotations, proposals, BOQs, pricing sheets, and tender documents.
Maintain a tracker of all quotations, follow-ups, order confirmations, and success rate.
Coordinate with production/purchase teams for costing inputs before quotation submission.
Assist in tender submissions and vendor registration processes for Tata Steel and other industrial clients.
B. Email & Communication Management
Draft and respond to professional emails to clients, vendors, OEMs, and internal departments.
Maintain proper email documentation and communication logs.
Prepare business letters, follow-up mails, submission mails, and service/billing related communication.
C. Client Complaints & Enquiry Handling
Register, track, and respond to client complaints and enquiries.
Coordinate with service, production, or AMC/ARC teams to resolve issues promptly.
Maintain complaint logs and ensure timely closure with feedback from clients.
Provide updates on material status, service progress, and order dispatch details.
D. Back Office & Documentation Support
Maintain filing of purchase orders, work orders, quotations, agreements, and AMC/ARC documents.
Assist in preparing job cards, gate pass requests, WCC, service reports, inspection reports.
Support in preparing delivery challans, e-way bill details, and dispatch coordination.
E. Customer Support & Relationship Management
Serve as a coordination point between clients (especially Tata Steel departments) and internal teams.
Provide updated information on order status, project/AMC progress, and documentation.
Support recurring clients with documentation required for AMC/ARC renewals and tenders.
F. MIS & Reporting
Prepare daily, weekly, and monthly sales & enquiry MIS reports.
Maintain trackers for quotations, enquiries, completed jobs, and customer satisfaction metrics.
Share management dashboards highlighting enquiry trends, quotation success rates, and complaint analysis.
3. Required Skills & ExpertiseTechnical Skills
Proficiency in MS Excel, Word, PowerPoint (must be good with data entry & reporting).
Ability to prepare quotations, commercial proposals, and tender documents.
Basic knowledge of manufacturing terms, BOQs, fabrication items, and service job documentation.
Familiarity with Tata Steel vendor portal, documentation, WCC/SES (preferred).

4. Experience Required
2-5 years
of experience in back office, sales support, or customer support roles.
Experience in
Graduate: B.Com / BBA / BA / B.Sc / Diploma in Office Management.
Additional certification in computer applications or office administration is a plus.
Number of quotations prepared per month.
Accuracy & timely submission of quotations.
Quotation-to-order conversion ratio.
