Data Executive
to manage essential back-office and operational data activities.
The ideal candidate will handle data entry, MIS reporting, documentation, quotation preparation, CRM updates, analysis, and coordination tasks. This role requires strong organisational skills, accuracy, and efficiency in a dynamic environment.
Job Responsibilities1. Data Management & Reporting
Maintain and update daily operational data including trips, dispatch, unloading, POD status, and fleet performance.
Ensure accuracy of all inward and outward data entries in the operational systems.
Prepare daily, weekly, and monthly MIS reports for management review.
Track vehicle movement data and update status in real-time dashboards.
2. Documentation & Record Keeping
Organize and maintain digital and physical records such as LR details, invoices, PODs, fuel records, and driver logs.
Verify documents received from drivers, customers, or branch offices before data entry.
Support audit teams by providing required documentation and reports.
3. Coordination & Communication
Coordinate with operations team, fleet managers, branches, and drivers to collect accurate operational data.
Follow up for missing information, pending PODs, or incorrect entries.
Share updated reports with management and concerned departments.
4. Data Accuracy & Quality Control
Identify and correct discrepancies in operational data.
Maintain zero-error data entry and ensure data hygiene.
Follow standardised data entry formats and company policies.
5. Software & System Handling
Work on TMS (Transport Management System), Excel, Google Sheets, and internal MIS tools.
Create and manage datasets, trackers, pivot tables, and automated reporting sheets.
Support implementation of digital tools for improved data visibility and workflow efficiency.
6. Analysis & Insights
Analyze operational data to highlight delays, performance gaps, and improvement opportunities.
Assist management with insights on fleet utilization, trip performance, and cost control.
7. Additional Back Office & Support Tasks
Prepare quotations for customers as per standard formats.
Update and maintain CRM data.
Support basic marketing-related tasks such as customer follow-ups and data collection.
Schedule appointments and coordinate with internal and external stakeholders.
Key Skills Required
Strong MS Excel & Google Sheets skills
Fast and accurate data entry
Analytical thinking and attention to detail
Knowledge of logistics documentation (LR, POD, trip sheet, etc.)
Good communication and coordination skills
Ability to handle multiple tasks efficiently
