We are looking for a proactive and detail-oriented
Back Office cum Sales Coordinator
to support our sales and operations team. The ideal candidate will handle order processing, customer communication, documentation, and coordination between internal departments to ensure smooth sales and dispatch processes. Candidates with experience in the
weighbridge
or
industrial equipment
sector will be preferred.
Key Responsibilities:
Sales Coordination:
Coordinate with the sales team for quotations, inquiries, follow-ups, and order confirmations.
Prepare and send quotations, proforma invoices, and sales orders.
Maintain and update customer database and sales records in CRM or ERP system.
Follow up with customers for order status, payments, and dispatch schedules.
Back Office Operations:
Manage all back-office documentation such as invoices, delivery challans, purchase orders, and reports.
Coordinate with the accounts, production, and logistics teams for order fulfillment.
Track and monitor the production and dispatch status for each order.
Handle incoming calls/emails related to sales inquiries and service requests.
Customer Support:
Respond to customer inquiries and resolve basic issues related to orders, delivery, and documents.
Schedule and coordinate after-sales service visits with the technical team if required.
Maintain good customer relations to ensure repeat business and satisfaction.
Administrative Tasks:
Assist in the preparation of tenders and official correspondence.
File and maintain all relevant documents both digitally and physically.
Maintain stock records and coordinate with stores for material movement.
Key Skills & Competencies:
Proficient in MS Office (Word, Excel, Outlook); knowledge of ERP software preferred.
Good communication skills in English, Hindi, and Gujarati.
Strong organizational and time-management abilities.
Attention to detail and accuracy in documentation.
Ability to handle multiple tasks and coordinate between departments.
Qualifications:
Graduate in Commerce, Business Administration, or any related field
(B.Com/BBA/BA or equivalent).
