Job Title: Back Office Executive
1. Administrative Support:
o Maintain and update customer and service records.
o Prepare and manage quotations.
2. Coordination:
o Coordinate between clients, field technicians, and sales teams.
o Schedule maintenance and installation work.
o Track complaints and service requests and assign them to relevant technicians.
3. Data Management:
o Maintain inventory records of spare parts and consumables.
4. Communication:
o Respond to client inquiries via email or phone.
o Follow up On service feedback, and document submissions.
5. Reporting:
o Prepare daily, weekly, and monthly reports for service performance, pending calls, and team productivity.
o Assist in audit preparation and compliance documentation.
6. Support to Field Operations:
o Help technicians with route planning and job scheduling.
o Ensure proper documentation is sent to site teams before project execution.
Handle day-to-day administrative tasks
Manage documentation and records efficiently
Answer phone calls and provide support to the team
Update and maintain internal databases
Assist with report generation and other office operations
Coordinate meetings, schedules, and appointments
Skills & Qualifications:
Proven experience in back-office
Strong organizational and multitasking abilities
Excellent communication skills
Proficiency in good computer knowledge and MS office
