Job Summary:



The Back Office Coordinator plays a key role in supporting the smooth operation of pest control services. This position involves coordinating between field teams, clients, and internal departments to ensure timely service delivery, accurate data management, and effective communication.

Key Responsibilities:1. Service Coordination & Scheduling



Plan and schedule pest control service visits for technicians. Coordinate with clients to confirm appointments and handle rescheduling requests. Assign technicians based on location, skill, and service type. Maintain daily service logs and follow up on completion reports.

2. Documentation & Reporting



Maintain service records, treatment reports, and invoices. Track contract renewals, AMC (Annual Maintenance Contract) schedules, and payment status. Prepare daily, weekly, and monthly service and performance reports. Ensure all client and service data are accurately entered into the system.

3. Client Communication



Handle client calls, emails, and service-related inquiries. Record customer complaints and coordinate with the operations team for quick resolution. Ensure high levels of customer satisfaction through effective follow-ups.

4. Technician Support



Communicate service schedules, client instructions, and job details to technicians. Collect field reports and ensure proper documentation of each service. Coordinate for chemical/material requirements and stock tracking.

5. Administrative Support



Manage office correspondence, billing, and payment follow-ups. Coordinate with the HR team for attendance and field staff updates. Assist management with MIS reports and performance data.

Key Skills & Competencies:



Strong communication and coordination skills. Good knowledge of MS Office (Excel, Word, Outlook). Time management and multitasking ability. Attention to detail and data accuracy. Team-oriented with problem-solving abilities.

Qualifications & Experience:



Graduate in any discipline (preferably in Business Administration or related field). 1-3 years of experience in back-office operations, preferably in a pest control or service industry. Familiarity with CRM or service management software is an added advantage.

Work Environment:



Office-based role with regular interaction with field staff and clients. Standard working hours, but occasional flexibility may be needed for urgent coordination.

The Backend Coordinator plays a key role in supporting the day-to-day operations of the pest control business by managing documentation, scheduling, coordination between teams, and maintaining client and service records. The role ensures smooth communication between field teams, clients, and management.

Key Responsibilities:



Service Coordination:

Schedule and assign pest control services to technicians based on client requirements. Track daily service completion and update reports accordingly.

Customer Communication:

Handle client calls and emails regarding service bookings, rescheduling, and feedback. Maintain good client relationships and ensure quick resolution of complaints or issues.

Documentation & Reporting:

Prepare daily, weekly, and monthly service and performance reports. Maintain customer database, billing records, and service agreements. Update AMC (Annual Maintenance Contract) renewal schedules.

Operational Support:

Coordinate with field technicians, business development, and operations executives. Ensure materials and chemicals are issued and tracked properly. Support HR and accounts teams with attendance, expense, and invoice data.

Follow-Up & Compliance:

Ensure timely follow-up for payments, renewals, and client feedback. Maintain proper documentation for audits and compliance checks.

Skills & Requirements:



Good communication and coordination skills. Strong organizational and multitasking ability. Proficiency in MS Office (Excel, Word, Outlook). Knowledge of CRM or service management software (preferred). Minimum qualification: Graduate (any stream). Experience in pest control or service industry backend coordination preferred.

Job Type: Full-time

Pay: ₹16,303.33 - ₹21,464.79 per month
