We are seeking a dedicated and detail-oriented Back Office Assistant to join our team in the health sector. The ideal candidate will be responsible for coordinating meetings, making travel arrangements, preparing reports and presentations, handling documentation, and supporting the overall smooth operations of the office. This role is crucial in ensuring efficiency and accuracy in our administrative processes.
Key Responsibilities:
Manage calendars, schedule meetings, and coordinate appointments.
Manage travel arrangements, including bookings, accommodation and itineraries.
Maintain and organize financial records, including bookkeeping and data entry.
Manage and organize physical and digital filing systems.
Preparing reports, documents and presentations for both internal and external use
Ensure confidentiality and compliance with company policies and industry regulations in document management.
Handle phone calls, manage incoming and outgoing communication.
Screen and handle visitors while maintaining security.
Assist in overall office management to ensure smooth day-to-day operations.
Requirements:
Female candidate preferred.
Excellent communication skills and good command over English language.
Proven experience in administrative assistance or in a similar administrative role.
Strong organizational and coordination skills.
Proficient in MS Office (Word, Excel, PowerPoint) and basic computer skills.
Ability to multitask, prioritize and manage time effectively.
Well-groomed, presentable and professional attitude.
Experience in the health sector will be an advantage.
Qualifications:
Graduate in any discipline (business administration or management background preferred).
