ROLE SUMMARY



We are hiring a

Back Office Admin

who will support our operations team by managing dispatch, order processing, client coordination, procurement, HR, and inventory. This role is essential in maintaining smooth workflow and communication across departments.

KEY RESPONSIBILITIES



Dispatch Management:

Coordinate the dispatch of finished goods Maintain dispatch records and courier tracking Ensure packaging and documentation is complete.

Material Inward Management:

Track and record incoming materials Ensure inward materials match purchase orders Notify purchase or accounts team for discrepancies

Client & Lead Follow-ups:

Follow up with clients for

new orders

, updates, and feedback Coordinate with potential clients to

follow up on leads

Send

payment reminders

for outstanding dues

Order Management:

Create and maintain internal job orders Coordinate with the production engineer for

status updates

Share production and delivery timelines with clients

Inventory & Consumables:

Keep stock of consumables like fasteners, hardware, packing materials Raise restocking requests based on consumption
*

HR & Payroll Support:

Maintain attendance records and leave tracking Support payroll calculations and employee reimbursements Assist with basic HR documentation and onboarding

REQUIREMENTS



Good communication and follow-up skills Basic knowledge of

Excel / Google Sheets

Familiarity with

dispatch and order management systems

Ability to manage multiple tasks and stay organised Experience in a

manufacturing or fabrication environment

is preferred Willingness to coordinate with both field staff and office teams
