The WhatsApp Automation Executive will manage, monitor, and improve all WhatsApp-based communication systems used for student inquiries, lead follow-ups, admission support, and automated messaging. The role ensures smooth functioning of WhatsApp APIs, chatbots, templates, and student query workflows.
Manage WhatsApp Business API and automation tools (Interakt, WATI, etc.).
Create and update automated message flows for inquiries, admissions, counselling, and follow-ups.
Ensure all WhatsApp templates are approved, active, and functioning properly.
Maintain FAQ lists and chatbot responses for student support.
2. Lead Handling & Response System
Set up instant automated replies for new leads (course details, fees, admission steps).
Ensure every inquiry receives correct and timely automated information.
Monitor response accuracy and reduce reply delays.
3. Daily Monitoring & Issue Handling
Track message delivery, read rates, failed messages, and API issues.
Resolve errors such as template rejection, number blocking, or message not sending.
Coordinate with the technical team if API or automation services face downtime.
4. Student Support & Communication
Manage automated reminders related to:
Admission deadlines
Fee payment reminders
Document submission
Counselling schedules
Ensure students receive accurate information through automated WhatsApp communication.
5. Reporting & Analysis
Prepare daily and weekly WhatsApp performance reports (sent, delivered, read, replied).
Analyse student queries to improve chatbot flows.
Provide insights on student activity, peak engagement time, and frequently asked questions.
6. Template Management
Create and update WhatsApp message templates for:
Marketing campaigns
Admission updates
Announcements and alerts
Submit templates for approval and track rejection issues with solutions.
7. Coordination & Team Support
Work closely with counselling, admissions, and marketing teams to update messages and flows.
Update WhatsApp communication based on new courses, fee changes, and admission rules.
Coordinate with the design/content team for creatives used in WhatsApp communication.
