Job Description

Job Summary
The Associate - Administrative Operations will be responsible for ensuring the smooth day-to-day functioning of the office. The role includes managing office operations, coordinating employee travel and accommodation, handling visitor management, and providing administrative support to employees and management.
Key Responsibilities
Office Administration

  • Oversee daily office operations, front desk, and reception activities
  • Manage office supplies, stationery, pantry, and ensure timely procurement.
  • Coordinate with housekeeping and support staff to maintain a clean and organized work environment.
  • Ensure smooth functioning of office facilities such as seating arrangements, meeting rooms, and utilities.
  • Training for ground staff (Housekeeping, Pantry boys, Office Boys, etc.)
Visitor Management
  • Manage visitor entry, registration, and hospitality.
  • Coordinate with security and front desk staff to ensure proper visitor protocols are followed.
  • Organize meeting room bookings and ensure availability of required facilities for visitors/guests.
Employee & Office Support
  • Support to stakeholders from an admin perspective.
  • Assist in organizing office events, celebrations, and employee engagement activities.
  • Act as a point of contact for employees regarding office-related queries.
  • Handle courier, mail, and communication services.
Coordination & Reporting:
  • Coordinate and arrange employee travel and accommodation requirements.
  • Liaise with vendors for office services like travel agencies, hotels, cab services, and event organizers.
  • Maintain accurate records of travel, accommodation, visitor logs, and office expenses.
  • Prepare basic MIS reports for management related to travel, accommodation, and admin activities.
Qualifications & Skills:
  • Graduate in Business Administration/Management/Commerce or related field.
  • 2-4 years of experience in office administration, travel desk, or front office management.
  • Proficiency in MS Office (Word, Excel, Outlook, Powerpoint).
  • Strong organizational and coordination skills.
  • Good communication and interpersonal skills.
  • Ability to multitask and work under deadlines.
