Boeing Global Enterprise Services (BGES) team is currently looking for Associate Administrative Assistant to join their team in Bangalore, India . This team seeks a highly-skilled and motivated individual. This is an individual contributor position in a growing global organization. The individual will partner with internal stakeholders and external suppliers to expand our service delivery model while ensuring service delivery excellence to all business partners. The ideal candidate must enjoy working in a dynamic, fast-paced business environment. He or she must be flexible to accommodate business requirements that span multiple time zones and may require travel, having international experience working with diverse groups and cultures will be an added advantage. The ability to multi task & deliver within timelines is essential. Practical knowledge of the Microsoft Office suite of tools is preferred. Special projects/assignments and support of Enterprise may also be required in this position. The candidate also will have strong communications skills & administrative acumen. He or she must be able to maintain positive relationships with leadership and all levels of the organization. Position Responsibilities: The responsibilities for this position include, but are not limited to, the following: Manages complete Procure 2 Pay cycle Taking daily facilities round & reporting the issues /Gemba walk every 15 days Responsible for upkeep & maintenance of facility Responsible for managing outsourced manpower service provider Responsible for seating allocation to new joiners & maintaining space data Taking care of day to day administrative & facilities related tasks Oversees the correctness of various reports submitted by FOE periodically Manages complete cafeteria operations Oversees the inventory management of various items like stationary/pantry/housekeeping consumables etc. Imparts training to junior staff as & when required ie behavioral & professional Supports employee relocation as & when required Well versed with travel/hotel bookings Organizing and managing logistics for multiple events for the team. Issuing & controlling of Work permits given to various suppliers Coordinating for minor MEP projects (in house) Interacting with employees on their concern/feedback/suggestion Keeping a tab on AMC schedule & service reports Orienting the FOE wrt all standard processes Taking care of New Hire Orientation - part 2 (physical tours ) Understand & implement the priniciple of Space planning in tune with BU\'s requirement & management guidance Manage end to end Corporate Credit Card lifecycle management with support from BSM Coordinating with Builders in order to ensure smooth building operations including common area maintenance & other allied activities as annual shutdown/events/fire drill etc Taking care of Special Infrastructure projects as & when required(labs/utility room etc) Responsible for Asset management ie end to end life cycle of an asset until disposal & taking care of quarterly/annual physical verification of assets Responsible for a safe & secure workplace for all in line with organizations EHS policy including managing site security deployment and Business Continuity Planning Telecommunication : taking care of corporate connections including hardware/invoice processing / employee grievances etc Responsible to oversee & supervise all Front of The House Operations with support from FOE/AA Cross functional collaboration as & when required like GRE/Finance/HR etc in order to achieve organizational goal Employee Transportation services Responsible for attending various audits like Quality/ISO/FSMS/PSA/BCP including recertification(s) Responsible for monthly Enterprise Space Managemnet System (ESMS) in order to facilitate correct cross charging to various BU\'s Sharing inputs on Departments annual budget allocation & tracking planned vs actual spent along with proper reasoning of deviations (if any) Taking care of Annual Maintenance Contract with various suppliers & oversseing the PM activities in form of service reports Monitor emergency response procedures such as dialogic/call tree/ERT members Employer will not sponsor applicants for employment visa status. Typical Education & Experience: Education/experience typically acquired through advanced education (e.g. Bachelor) and typically 6 or more years\' related work experience or an equivalent combination of education and experience (e.g. Master+ 5 years\' related work experience.)
