About the Role
The Admin Associate at AVPN is to provide support to two Deputy CEOs and assist the Senior Manager in the CEO Office. This role requires excellent organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
--------------------
Executive Support
Manage complex calendars for the two Deputy CEOs, including scheduling meetings, resolving conflicts, and ensuring effective time management.
Coordinate internal and external meetings, including preparing agendas, collating materials, and arranging logistics.
Handle travel arrangements, accommodations, and itineraries as required.
Track follow-ups and ensure timely execution of action items.
Undertake other ad hoc duties and special projects as assigned.
CEO Office Support
Provide administrative support to the Senior Manager, CEO Office, including document preparation, information consolidation, and communications support.
Assist in coordinating high-level meetings, events, and board engagements.
Draft and proofread correspondence, presentations, and briefing documents.
Office Administration
Maintain accurate records, databases, and filing systems.
Support expense claims, procurement requests, and budget tracking for the CEO Office.
Liaise with internal teams and external stakeholders in a professional manner.
Undertake other ad hoc duties and special projects as assigned.
Requirements

Qualifications & Skills
Diploma/Degree in Business Administration or a related field preferred.
At least 3 years of administrative or executive support experience, ideally supporting senior management.
Strong organizational and multitasking skills with high attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), as well as familiarity with travel booking solutions, CRM, and accounting/expense management software.
Ability to handle sensitive information with discretion and maintain confidentiality.
A proactive team player with a positive attitude and problem-solving mindset.
Experience:
5 to 7 years of work experience in a similar administrative role
Terms of Employment:
Full-time, contract based for 12 months (renewable based on performance).
