Job Purpose (Job Summary): Under the Supervision of Manager, the Assistant Manager is responsible for managing the day-to-day planning, operation and problem solving so that the team delivers the highest level of excellent services along with ensuring the accurate and timely processing of trades, maintaining data integrity, and supporting operational workflows across fixed income and equity SMA portfolios.
The Assistant Manager is responsible for the Team's Performance and assures us that the Team functions in accordance with the SMA guidelines.
Key Responsibilities / Duties:Assign work to the associates and senior associates and facilitate clearance of the workflow in a timely and accurate manner.
Ensure all review and Setup of Emails in mailbox handling, Trade Allocations, Priority activities are completed in a timely manner without any errors.
Monitor and validate trade activity across Fixed Income SMAs, including corporate bonds, municipals, treasuries, and structured products.
Ensure timely and accurate trade capture, allocation, and settlement
Collaborate with Traders, Portfolio Managers, Brokers and custodians to resolve trade discrepancies.
Proactively contribute ideas and participate in continuous improvement initiatives.
Monitor and report the cash and position discrepancies in a timely manner to the trading desk.
Research/Resolve of various corporate actions discrepancies like stock split, reverse split, spin off, bonus etc.
Identify & resolve individual account discrepancies accurately and efficiently, to ensure systems are ready for trading.
Reviewing and identifying items in the Trade Operations Global mailbox
Ensure the process procedures are up to date.
Proactively identify potential operational risks, suggest mitigation strategy to manager and lead the implementation of the agreed upon mitigation strategy
Review and Ensure all the e-mails in the Global mailbox are routed properly and all the items are handled correctly and accurately.
Responsible for helping/Guiding the team members to prioritize the work and to do the Job on their own.
Ensure all critical end of the day reports on Trade allocations, Files saving, emails handling, etc. are duly completed on time.
Promote communicative environment.
Being Vocal and Visible in process handling and team building.
Ensure the necessary data is prepared/updated in Investment Operations Dashboards used by the Top Management to review the whole process and its progress.
Ensure all the transitions run smoothly by coordinating with Onsite team
Ensure all the e-mails in the Global mailbox are routed properly and all the items are identified correctly
Ensure smart controls are in place for all activities (existing & new) to have 100% accuracy. Ensure process documents are up-to-date and get the sign off as when required
Ensure effective and updated DR plans (BIA & BCP plan) in place and test regularly.
Ensure NO Audit Exceptions in Internal and External Audits. Assist the management in preparing Monthly reports and adhoc reports
Ensure all the SMA activities are processed & delivered accurately in a timely manner
Responsible for helping the team members to prioritize the work and ensure seamless service delivery daily. Responsible for Team Development
Conduct weekly team meetings to discuss updates, statistics, and other information.
Interviews, hires, orients, trains, motivate, evaluate, and disciplines subordinate personnel.
Monitor workflow and productivity for respective group members and take appropriate action to ensure targeted levels of production
Participate in regular meetings / conference calls with onsite Team, Vendors and other Teams in the company to discuss process related items
Monitor attendance and manage leaves.
Report at regular intervals on the status of deliverables and through proper intervention, take corrective action whenever required.
Manage the output of sub ordinates ensuring qualitative, timely output and manage performance related appraisals and issues under direct supervision from the reporting manager.
Working Conditions:Normal office environment with little exposure to noise, dust and temperatures.
The ability to lift, carry or otherwise move objects of up to 10 pounds is also necessary.
Willingness to work in nigh shifts
Overtime, off hours support
Participate in Business Recovery testing on an as-needed basis as defined by manager
Work Experience / Knowledge:10+ Years Investment Operations Industry Experience
Excellent Knowledge of Investment products globally is required
Skills / Other Personal Attributes Required:Good Understanding of Portfolio administration process.
Excellent understanding of separately managed account processes.
Good Understanding of corporate actions, trade life cycle, account life cycle and capital markets.
Excellent interpersonal skills.
