JLL PDS Mumbai - Assistant Project Lead Position

Position:

Assistant Project Lead - Planning, Documentation & Project Controls.



Department:

Project & Development Services (PDS) - Project Management Consultancy.



Location:

On Site.



Reporting To:

Project Lead / Senior Project Lead.



Role Purpose

Serve as project controls specialist for comprehensive project planning, schedule management, and documentation control. Ensure adherence to time, cost, quality, scope, safety, and compliance standards per JLL PDS guidelines. Support project governance across all phases from Initiate to closeout.



Key Responsibilities

Planning & Scheduling

Develop and maintain integrated Master Project Schedules using MS Project.



Prepare baseline schedules with detailed WBS and activity relationships (FS/SS/FF).



Creating and micro schedules for contractors with weekly tracking.



Analyze deviations and prepare recovery plans and catch-up strategies.



Coordinate with design consultants, vendors, and contractors for realistic planning inputs.



Conduct schedule health checks and ensure baseline adherence.



Resource and cost loading into schedules were required.



Project Controls & Performance Management

Establish project control systems aligned with JLL governance.



Track progress across time, cost, quality, risk, and HSE parameters.



Maintain Earned Value Management parameters (PV, EV, AC, SPI, CPI, SV, CV).



Monitor project KPIs and flag slippages proactively.



Ensure proper change management including Change Requests and Variation Orders.



Prepare trend analysis and early warning reports.



Documentation Control & Governance

Act as Documentation Controller for entire project lifecycle.



Set up structured Document Management Systems.



Maintain logs for RFIs, submittals, method statements, drawings, MOMs, site instructions, NCRs.



Control distribution of latest drawings and specifications to all stakeholders.



Maintain document numbering systems and track revisions.



Ensure audit readiness and JLL PMS compliance.



Project Reporting & MIS

Prepare Daily Progress Reports (DPRs) and weekly site progress reports (WPRs).



Create comprehensive Monthly Progress Reports including schedule progress, photos, quality reports, HSE statistics.



Develop and maintain Action Item Trackers across design, procurement, and execution phases.



Coordinate client presentations on project performance.



Prepare cost and procurement updates with key risks and action trackers.



Coordination & Communication

Facilitate planning meetings, design coordination meetings, contractor reviews.



Work closely with the client, design consultants, contractor teams, cost managers, and site execution teams Act as central communication point for schedule and documentation matters.



Track dependencies and ensuring inter-departmental alignment.



Contract & Procurement Support

Assist in preparing project procurement schedules.



Review contractor schedules for feasibility and compliance.



Participate in delay analysis and extension of time (EoT) evaluations.



Support cost consultants in validating progress-based RA Bills.



Maintain contract deliverables tracker.



Quality, HSE & Compliance

Integrate QMS and HSE milestones into schedules.



Maintain checklists for quality documentation.



Ensure closure of NCRs, CARs, and quality observations.



Align documentation with JLL governance.



Risk Management & Project Closeout

Maintain comprehensive Risk Register with updated mitigation plans.



Conduct risk assessments and highlight critical path issues.



Prepare closeout documentation (as-built drawings, O&M manuals, snag lists).



Assist in project completion reports and handover to client ops/FM team.



Required Qualifications & Technical Skills

Education:

B. Tech/B.E. in Civil and NICMAR Background preferred.



Experience:

2-5 years in project planning, documentation control, or project controls.



Project Experience:

Industrial & Warehousing and infrastructure projects.



Advanced proficiency in Primavera P6/MS Project.



Strong knowledge of project planning, WBS creation, CPM, baseline management.



Expertise in document management tools.



Understanding of contracting models.



Proficiency in engineering drawings (Civil, MEP, Architecture).



Knowledge of EVM, delay analysis, risk management.



Understanding of statutory approvals and construction processes.
