Maintain and regularly update the central client database (bookings, payments, follow-ups)
Coordinate with site engineers and project managers to collect site progress updates
Visit sites periodically to take photos, track status, and report milestones
Track stock levels at sites and office; maintain inventory records and raise requisitions
Prepare and verify daily/weekly stock reports and share with management
Handle inbound and outbound calls; cold call potential clients as per marketing needs
Manage all incoming leads from portals, references, or campaigns and assign them to the sales team
Follow up with old and existing clients for cross-selling, updates, or document collection
Assist HR in maintaining employee attendance, leaves, joining formalities, and ID issuance
Support recruitment coordination by scheduling interviews and handling documentation
Coordinate between departments (sales, site, accounts, HR) for smooth operations
Organize and maintain office supplies, stationery, and facility-related logistics
Schedule internal meetings, site visits, and client appointments when required
Help prepare internal reports for sales, admin, HR, and site performance
Ensure all files and documents (physical/digital) are well-organized and accessible
Act as a single point of contact for all internal task follow-ups and escalations
Assist in preparing presentations, MOMs, and daily reports for the management
Ensure smooth communication flow between the office, clients, and site teams
Support the Manager/Director in all daily operational and strategic tasks
Follow up on pending tasks with internal teams to ensure timely closures
