  • Coordinate, prepare, and submit compelling proposals, tenders, and bids in response to client requirements and RFPs/RFQs.
  • Collaborate with subject matter experts, commercial, legal, and technical teams to gather necessary inputs, ensuring accuracy and compliance in all proposal documents.
  • Track proposal progress, manage timelines, and ensure timely submission of all deliverables as per client specifications.
  • Review and analyse client requirements, bid documentation, and contract terms to identify areas of risk and opportunity.
  • Maintain and update a library of standard documents, templates, and supporting materials for efficient proposal preparation.
  • Support post-submission queries, clarification requests, and negotiations in collaboration with the sales and business development teams.
  • Ensure all proposal and bid processes follow internal controls, quality standards, and company branding guidelines.
  • Assist in coordinating kick-off meetings, lessons learned, and debriefs for continuous process improvement.
Essential Skills and Experience - Proposals, Bids, and Communication
  • Proven experience in proposal, bid, or tender management, ideally within a technical, engineering, or commercial environment.
  • Strong written and verbal communication skills, with ability to convey complex information clearly and persuasively.
  • Excellent organisational and multitasking abilities, with high attention to detail and accuracy.
  • Stakeholder management and teamwork skills, able to engage with colleagues at all levels and across departments.
  • Proficiency with Microsoft Office Suite and document management systems; experience with proposal automation tools is an advantage.
  • Adaptability to manage multiple projects with shifting priorities and deadlines.
Qualifications and Desirable Attributes - Proposal Writing and Administration
  • Bachelor's degree in Business Administration, Commerce, Engineering, or a related field.
  • Prior experience in supporting sales, business development, or project administration is desirable.
  • Strong research and analytical skills to evaluate client needs and competitor offerings.
