Job Summary:



The Assistant Manager - Project and Technical Coordinators is responsible for overseeing, guiding, and verifying the performance and deliverables of the technical coordination team across various construction project sites. This role ensures timely execution of technical documentation, material management, estimation, procurement liaison, billing, and site communication functions. The position also supports upper management in strategic and operational execution.

Key Responsibilities



1. Supervision & Leadership (Team Management)



Conduct daily morning meetings with all technical coordinators to review tasks and updates.

Ensure each team member submits and adheres to their PFD (Plan for the Day) and EOD (End of Day) reports.

Evaluate team members' task completion status and identify obstacles.

Provide timely solutions and hands-on guidance to team members for task completion.

Monitor and guide grievance handling by coordinators across all work sites.

Verify and ensure that the Daily Labour Report (DLR) from each site is accurate and submitted on time.

Delegate work appropriately among the team, ensuring fair workload distribution.

Provide on-the-job training and mentoring to junior coordinators.

Evaluate team performance periodically and report to the COO.

2. Technical & Project Coordination



Ensure accurate preparation and verification of estimation and quotation documents.

Guide the preparation and validation of fabrication drawings.

Review technical submissions including BOQs, RFIs, and drawing approvals before forwarding.

Maintain up-to-date project documentation and correspondence logs.

Ensure timely tracking and follow-up on submissions with consultants and clients.

Coordinate between project managers, engineers, designers, and site teams to avoid conflicts and ensure alignment.

Support the preparation of progress reports and compliance documents.

Facilitate preparation of arbitration and other dispute-related documentation.

Assist in verifying technical documentation for vendor compliance.

Participate in site inspections and prepare technical inspection reports.

3. Material & Procurement Coordination



Ensure material requirements from all sites are compiled, reviewed, and communicated to the purchase department.

Follow up on purchase requests and ensure timely delivery to sites.

Cross-check material specifications to avoid procurement mismatches.

Ensure no site faces downtime due to material shortages or delays.

Verify the material inflow/outflow statement submitted by coordinators.

4. Billing & ERP Management



Review all subcontractor bills collected by the team and ensure timely processing.

Book verified invoices in the ERP system.

Oversee accurate documentation of running account bills.

Monitor subcontractor payment verification and settlements.

5. Documentation & Reporting



Ensure the preparation and timely sharing of all technical documents, including work orders, schedules, and drawings.

Review all official letters and support superiors in drafting correspondence.

Coordinate and compile progress reports from each site.

Validate all technical reports prepared by the coordinators.

Maintain digital and physical archives of documents related to technical operations.

6. Client & External Communication



Participate in meetings with clients to discuss technical submissions, quotations, and project progress.

Represent the company during visits to government authorities related to projects.

Share necessary email correspondence with concerned departments and follow up for closure.

Ensure that technical concerns from clients are addressed effectively.

Provide status updates to the COO on client-related deliverables.

7. Site Coordination & Logistics



Visit project sites for inspections and staff coordination.

Support vehicle arrangement for inter-site item transfer and logistics.

Respond to urgent site issues and deploy coordinators as necessary.

Monitor current site work progress and ensure it aligns with planned schedules.

Follow up on site progress enquiries and raise alerts on delays.

8. Financial Analysis & Planning



Support in the preparation of monthly inflow and outflow financial statements.

Perform rate analysis using "Candy Software" and review calculations done by coordinators.

Participate in cost planning and provide technical input for budgeting.

Assist in vendor/subcontractor negotiation and finalization processes.

Ensure proper documentation and tracking of work orders and agreements.

Experience : 2 - 3 Years



Desired Qualifications & Skills Required:



Degree in Civil Engineering or a related discipline



Strong leadership and team management

In-depth understanding of construction processes

ERP and project management software (especially Candy)

Communication and interpersonal skills

Technical drawing and estimation skills

Attention to detail and problem-solving

Job Type: Full-time

Pay: ₹30,000.00 - ₹35,000.00 per month

Work Location: In person
