Assistant Manager, Facility

Position Summary :-

The Assistant Manager, Facility plays a vital role in ensuring the smooth and efficient operation of our facilities. This position supports the Facilities Manager in overseeing the daily maintenance, repair, and operational activities of the building and its systems. This includes managing vendors, coordinating with staff, ensuring safety and compliance, and contributing to a positive and productive work environment.Key Responsibilities

Facility Operations & Maintenance:

Assist in the overall management of the facility's day-to-day operations, ensuring optimal functionality of all building systems (HVAC, electrical, plumbing, etc.). Coordinate and oversee maintenance and repair activities, including scheduling, supervising staff/vendors, and ensuring timely completion of tasks. Conduct regular inspections and audits to identify potential issues, address maintenance needs, and ensure adherence to facility standards.

Compliance & Safety:

Ensure the facility's technical services meet or exceed compliance with all statutory, safety, and environmental regulations (e.g., fire safety, electrical safety). Support audits and inspections by regulatory bodies or internal quality teams. Maintain accurate documentation related to equipment logs, permits, checklists, and compliance certificates.

Vendor & Contractor Management:

Coordinate with and supervise third-party service providers, vendors, and technicians, ensuring quality work and adherence to contractual agreements. Assist in procurement, vendor evaluation, and contract compliance processes.

Budget & Cost Efficiency:

Support in the development and management of the facility budget, monitoring expenditures and identifying areas for cost optimization. Contribute to the implementation of sustainability and energy conservation initiatives.

Stakeholder Coordination:

Address technical complaints and inquiries from occupants or internal stakeholders, escalating critical issues to the Facilities Manager as needed. Collaborate with cross-functional teams (e.g., HR, IT, Finance) to ensure seamless facility operations and support departmental needs.

Reporting:

Prepare and present reports on system performance, maintenance activities, incidents, and facility operations to the Facilities Manager. Track Key Performance Indicators (KPIs) to monitor facility efficiency and identify areas for improvement.
Required Qualifications & Skills

Bachelor's degree in Facility Management, Engineering, Business Administration, or a related field (or equivalent work experience). 2-4 years of experience in facility management or a similar role. Strong knowledge of building systems, including HVAC, electrical, plumbing, and fire safety systems. Familiarity with health, safety, and environmental regulations and compliance standards. Excellent organizational, leadership, and team management skills. Strong communication and interpersonal skills, with the ability to effectively interact with various stakeholders. Proficiency in Microsoft Office Suite and facility management software.
Preferred Qualifications

Experience in managing facilities in specific sectors (e.g., healthcare, education, commercial). Certifications such as Facilities Management Professional (FMP) or Certified Facility Manager (CFM). Familiarity with building automation systems (BMS), energy monitoring tools, or Computerized Maintenance Management Systems (CMMS).

Pay: ?15,458.28 - ?47,949.58 per month
