The Assistant Hospital Administrator supports day-to-day hospital operations, ensures compliance with hospital policies and legal requirements, coordinates with departments, and helps maintain high standards of patient care, safety, and service quality.
Key Responsibilities1. Administrative & Operational Support
Oversee smooth functioning of all hospital departments.
Resolve operational issues promptly to ensure uninterrupted patient care.
Ensure effective coordination between medical, nursing, and support teams.
2. Legal & Statutory Compliance
Ensure compliance with all healthcare-related laws, rules, and statutory requirements.
Support documentation and follow-ups for:
Hospital licenses and registrations
Fire & safety compliance
Biomedical waste management compliance
Pollution control board requirements
Labour laws and staff-related statutory records (ESI, PF, etc.)
AERB compliance for radiology department
Maintain updated records for all government inspections and audits.
Coordinate renewal of statutory licenses (NOC, trade license, lift license, pharmacy license, etc.).
Ensure medico-legal case (MLC) protocols are followed correctly.
Assist in handling patient grievances, medico-legal documentation, and incident reporting.
Ensure adherence to ethical guidelines and hospital policy frameworks.
3. Quality Assurance & Accreditation
Support NABH / ISO accreditation processes and maintain required documentation.
Monitor compliance with quality standards, SOPs, and safety protocols.
Participate in internal audits & quality improvement meetings.
4. Patient Service & Experience
Address patient queries and assist in resolving complaints.
Monitor patient flow and ensure efficient service delivery.
Ensure patient care areas maintain hygiene, safety, and comfort.
5. Staff Coordination & Supervision
Support HR in maintaining discipline, attendance, and duty rosters.
Assist in staff orientation, training, and performance monitoring.
Promote teamwork and maintain a positive workplace environment.
6. Inventory, Procurement & Facility Management
Support procurement of medical and non-medical supplies.
Monitor equipment maintenance and AMC schedules.
Coordinate with maintenance, housekeeping, and security teams for daily operations.
7. Reporting & Documentation
Prepare daily/weekly/monthly operational reports.
Maintain logs, registers, meeting minutes, and administrative records.
Track departmental KPIs and recommend improvements.
