Job Description


Key Activities & Responsibilities Store Management Preparation of SOPs & ensure compliance to SOPs. Monitor all stores operations for the plant to ensure that the key activities of Stores such as Material receipt & storage, Material Issue, PIV, Scrap Management, Inventory management, Materials\' Preservation etc. are in line with set processes and standards. Ensuring proper movement of materials using right material handling equipment and giving timely services to internal customers/stake holders. To ensure that all material receipts are against PO. To check the terms of PO with respect to Prices, Quantity, Quality & Delivery Terms. Regularization of materials received directly. Report to Procurement and all stake holders for all cases of Shortage/Excess/damage immediately on receipt. Liaise with the Transporters and Internal customers in line with the planning schedule for timely delivery of materials and effective utilization of transport vehicles. To follow material issuing methods like FIFO / LIFO based on the shelf life of the materials. Coordinate for disposing of scrap in co-ordination with all stake holders as per SOP. Manage customer complaints on Scrap Management and try for long-term resolution. Planning and Organizing of PIV and ensuring that accurate Inventory records are maintained in line with SAP Records and locations. Analyse the discrepancies using various reports and resolve the same suitably. Also enter the same in SAP PIV process. Meeting PIV Plan requirement. Also, to monitor Periodical inventory audits. Proactively plan Stores Stock Materials\' procurement, timely receipt, ensuring no Stock out and their inventory management. To ensure proper reconciliation of materials receipts/ issues / surplus Stocks immediately after Project Closure. Ensure 5S, safety and security at the R&M Stores and ensure minimal losses due to poor upkeep of materials. Conceptualisation, planning and execution of IMS. Monitoring & Measurement of Process Measurables. Anchor all internal (Eg. Internal Stores Mgt Audit, 5S, IMS etc) and external audits (Eg. Surveillance audits of 5S, IMS and Statutory Stores audit, third party Fire and Safety Audit etc.). Ensure that Established Barcode System is implemented as envisaged. Ensure coordination with External agencies for execution of outsourced activities. Documentation and MIS Review and check documentation for all Material receipt, Issue, Credit, PIV, Rejection, Credit dispatch of material etc., and preserve them as per established system. Ensure that documents related to GST/Warranty/Guarantee/Test Certificates/E-way Bill/E-Invoice etc., are accurate and properly documented. Verify and validate the reports generated by the team and keep the entire plant team informed through a departmental MIS. Ensure that team is recording accurate information in SAP. Co-ordinating with SAP team for new T-code development as well as for any updates. Inventory Management To design and implement \'Storage & Preservation Plan\' of various materials keeping in view the basic nature of materials like Paints, Wooden Materials, Electrical and Instrumentation spares, Inflammable materials etc. Highlight stock accumulation, discrepancies, and abnormal consumption, if any, to Top management and Maintenance team. Minimize obsolete, surplus and scrap material through proper monitoring. Optimization of Inventory Levels by regularly reviewing ROL, EOQs of all materials taking into consideration of ABC, FSN & VED analysis. Maintain fine balance between stock out and over stocking. Reviewing of Slow & Non-Moving Materials and to make a proper consumption plan for the same. Devise a plan for standardization and variety reduction for all types of Tools, Tackles, spares and equipments purchased for the organization. Cost Management Ensure that adequate manpower is being utilized as per approved standards for store operations and look for opportunities to reduce on manpower cost. Identify areas for cost saving and recommend action plan to achieve the saving. Health & Safety Ensure safety measures are consistently followed and take initiative to enhance acceptance of safety as a culture so as to achieve zero accident level. Train employees on correct methods of handling the material handling machinery and equipment so as to reduce accidents. To ensure that all material handling devices are maintained in a proper manner and follow all handling procedures in line with our HSE norms. People Management Ensuring proper work distribution among all Stores team. Resolve day to day worker grievance / worker issues and ensure that the work environment is productive and peaceful. Ensure Stores team is motivated so that the work can be completed in a safe, timely and cost-effective manner. Maintain good working relations with the workmen and other contract staff. Set targets for the team and monitor their performance against the targets & provide regular and ongoing feedback for team. Identify the training needs for the department employees and ensure provisioning of the inhouse as well as external training to the team in liaison with HR. Other Activities Look after any Special Projects & Systems as guided by Management. Looking after Stores\' properties/Stores\' vehicles healthiness, conducting Housekeeping Rounds, attending TBTs, Regular Training sessions at Training Centre such as Inhouse training sessions related to IMS/Material Management/5s/Fire Squad training etc. Engaging in CSR Activities as and when specified.
