Job Summary:
We are seeking a proactive and tech-aware
IT Assistant
to support the overall hardware solution process, from preparing and sending client quotations to coordinating vendor supplies and maintaining client relationships. This role demands a mix of operational efficiency and strong communication skills, ensuring smooth IT product delivery, post-sales coordination, and end-to-end client satisfaction.
Key Responsibilities:
Client Coordination & Relationship Management:
Interact with clients to understand their IT hardware and software needs, and recommend suitable solutions.
Maintain ongoing relationships with key accounts and handle day-to-day communication.
Follow up regularly for approvals, payments, feedback, and service issues.
Quotations & Documentation:
Prepare, revise, and send quotations for IT hardware (laptops, desktops, servers, etc.).
Manage and track quotation status, approvals, and revisions.
Maintain accurate records of all client interactions and documentation.
Vendor & Procurement Coordination:
Coordinate with vendors/distributors for pricing, stock availability, and delivery timelines.
Track purchase orders, ensure timely dispatches, and escalate issues if required.
Ensure timely and cost-effective procurement aligned with client requirements.
Sales & Support Sync:
Work closely with the sales and technical teams to align client requirements and hardware solutions.
Assist in onboarding new IT hardware partners or suppliers.
Inventory & Reporting:
Maintain basic oversight of stock movement and delivery tracking.
Generate daily/weekly reports on quotation conversion, follow-ups, and pending deliveries.
Candidate Requirements:
Bachelor's degree or diploma in IT, business, or a related field.
0-1 years of experience in IT hardware coordination, inside sales, or client servicing.
Knowledge of computer hardware, peripherals, and IT infrastructure is essential.
Excellent communication and negotiation skills.
Organized, process-oriented, and able to manage multiple clients and tasks simultaneously.
Proficiency in MS Office and basic CRM platforms.
Preferred Skills:
Familiarity with IT brands like Dell, HP, Lenovo, Cisco, etc.
Experience in handling B2B IT hardware sales or service.
Knowledge of procurement processes and vendor management.
Knowledge of Excel.
