The Office Administrator is responsible for providing efficient administrative and clerical support to ensure the smooth operation of the college office. The role involves managing records, coordinating communication, supporting faculty and students, and assisting in day-to-day administrative functions.
Key Responsibilities Administrative Duties
Manage daily office operations and ensure an organized, professional work environment
Handle incoming calls, emails, and visitors; respond to inquiries or direct them appropriately
Maintain filing systems (physical and digital) for student records, staff files, and official documents
Prepare correspondence, reports, notices, and meeting minutes
Student & Faculty Support
Assist students with administrative queries related to admissions, registration, and documentation
Coordinate with faculty members for scheduling, documentation, and academic records
Maintain attendance records, examination files, and academic calendars
Records & Documentation
Maintain accurate records of admissions, enrollments, transfers, and graduations
Process forms, applications, certificates, and official letters
Ensure confidentiality and compliance with institutional policies
Coordination & Communication
Schedule meetings, appointments, and college events
Liaise with internal departments and external agencies (universities, boards, vendors)
Assist in organizing examinations, seminars, workshops, and college functions
Office & Resource Management
Monitor office supplies and place orders as required
Assist in budget tracking and expense documentation
Support audits, inspections, and accreditation processes
