The Assistant Admission Counsellor is responsible for guiding students through the admission and financial process of the institute. This role involves counselling prospective students, managing fee collections, coordinating with finance partners, maintaining accurate records, and ensuring smooth communication with students and parents. The position demands excellent communication skills, attention to detail, and a student-first attitude.
Key Responsibilities:1. Fee Collection and Financial Coordination
Ensure timely collection of course fees from students as per the institute's predefined installment schedule.
Proactively follow up with students and parents regarding outstanding or overdue payments through calls and messages.
Coordinate with financing partners (e.g., Bajaj Finance) to facilitate EMI options and assist students in completing required documentation.
Support students seeking educational loans by coordinating with the Administrator and providing necessary documents.
2. Record Keeping and Reporting
Maintain accurate and up-to-date records of all student fee transactions and outstanding dues.
Generate and issue official receipts for all payments.
Issue "No Objection Certificates" (NOC) related to fee clearance for students at the end of each session.
Prepare and submit regular reports to the Administrator on fee collection status, defaulters, and collection rates.
3. Student and Parent Communication
Provide clear and detailed explanations of fee structures and payment plans during admission.
Serve as the primary contact for all fee-related inquiries from students and parents.
Handle financial conversations with empathy and professionalism while maintaining high customer service standards.
4. Administrative and System Management
Update and maintain the student fee management system with accurate information.
Suggest process improvements to enhance efficiency in fee collection and record management.
Coordinate with the Admissions and Academic departments for seamless data sharing regarding student enrollment and course changes.
Support internal and external audits by providing relevant documents and reports.
Perform any additional duties assigned by the Administrator.
Required Skills and Attributes:
Excellent communication and interpersonal skills
Basic knowledge of financial coordination or student counselling
Good computer proficiency (MS Office, data entry systems)
