The Assistant Admin Manager will play a critical role in supporting day-to-day administrative operations, ensuring smooth coordination between departments, maintaining office efficiency, and upholding the brand's high standards. This role requires excellent organizational skills, strong communication abilities, and a passion for structure and process improvement.
Key Responsibilities Administrative Support
Assist in managing daily office operations to ensure a productive work environment.
Maintain and organize documents, records, and filing systems.
Prepare reports, letters, memos, and presentations when needed.
Handle incoming and outgoing communication, including emails and calls.
Operational Coordination
Coordinate with the production, design, retail, and HR teams as required.
Support vendor communication, follow-ups, and logistics coordination.
Assist in procurement and inventory of office supplies and admin resources.
Oversee maintenance of office equipment and ensure timely repairs.
HR & Staff Support
Assist in onboarding new staff: documentation, orientation, and training logistics.
Maintain attendance records, leave tracking, and basic HR documentation.
Support in organizing internal events, team meetings, and brand activities.
Finance & Compliance Assistance
Support the admin manager in expense tracking and petty cash management.
Help ensure compliance with company policies, safety guidelines, and operational standards.
Assist with vendor payments, invoice processing, and documentation coordination.
Brand & Customer Experience Alignment
Uphold the luxury standards of Liz Paul Couture in all administrative roles.
Support store-level coordination when required (e.g., customer appointments, deliveries, fittings).
Ensure administrative functions reflect the brand's professionalism and elegance.
Skills & Qualifications
Bachelor's degree in Business Administration, Management, or related field.
2+ years of administrative or office management experience (fashion/luxury industry preferred).
Strong communication and interpersonal skills.
Excellent organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, PowerPoint) and basic administrative tools.
Ability to maintain confidentiality and professionalism at all times.
Proactive, disciplined, and detail-oriented personality.
