Job Title: Assistant Manager / Manager - Export Documentation & Logistics
Department: Exports / Supply Chain
Location: Mumbai
Reporting To: Head - Exports / General Manager - Finance
Job Summary:
The incumbent will be responsible for managing the complete export documentation and logistics operations, ensuring timely and accurate processing of export shipments in compliance with all regulatory, statutory, and customer requirements. The role demands strong coordination with internal departments, shipping lines, CHA, transporters, and customers for seamless export execution.
Key Responsibilities:
1. Export Documentation:

  • Prepare and verify all pre- and post-shipment export documents such as Invoice, Packing List, Certificate of Origin, BL/AWB, LC documentation, etc.
  • Ensure compliance with export regulations, LC terms, and buyer requirements.
  • Coordinate with banks for negotiation of export documents under LC or collection basis.
  • Maintain proper documentation records for audit and statutory purposes.
2. Logistics & Shipment Coordination:
  • Plan and coordinate shipments (sea/air) with freight forwarders, CHA, and transporters.
  • Ensure timely container booking, vessel planning, and dispatch as per customer schedule.
  • Track shipments and share timely updates with customers and internal stakeholders.
  • Negotiate freight rates and manage logistics costs effectively.
3. Compliance & Coordination:
  • Ensure all export activities adhere to DGFT, Customs, EXIM policy, and other statutory guidelines.
  • Liaise with DGFT, EPCs, Customs, and other government bodies for documentation or certification as required.
  • Handle insurance, claim documentation, and post-shipment follow-ups.
4. MIS & Reporting:
  • Maintain shipment tracker, documentation checklist, and MIS reports for management review.
  • Support internal/external audits and provide necessary documentation support.
Desired Candidate Profile:
  • Graduate / Postgraduate (preferably in International Business, Logistics, or Supply Chain Management).
  • 5-10 years of experience in export documentation, logistics, or shipping operations.
  • Thorough knowledge of export procedures, LC documentation, customs clearance, and logistics coordination.
  • Proficiency in MS Office, ERP systems, and export-related portals (DGFT, ICEGATE, etc.).
  • Strong communication, coordination, and problem-solving skills.
  • Experience in manufacturing/export-oriented industry preferred.
