Job Summary:
We are seeking a highly experienced and dynamic professional to join our team as a Senior Admission Counsellor & Operations Coordinator. This unique role is designed for a candidate who is not only an expert in guiding candidates through the admission process but also possesses a strong background in the administrative, operational, and physical infrastructure that supports our institution. The ideal candidate will be a cornerstone of our front-line operations, ensuring a seamless and positive experience for all visitors and stakeholders while contributing to the overall efficiency and management of our facility.
Key Responsibilities:
1. Admission Counselling
Serve as a primary point of contact for prospective candidates and their families, providing detailed information about programs, fees, and admission requirements.
Conduct personalized counselling sessions, campus tours, and interviews to assess candidate fit and convert inquiries into enrolled students.
Manage the entire admission lifecycle from inquiry to enrollment, including application processing, document verification, and follow-up.
Maintain and update the Customer Relationship Management (CRM) system with accurate candidate data and interaction logs.
Achieve and exceed enrollment targets through proactive outreach and relationship-building.
2. Administration & Operations
Oversee critical administrative functions, including data entry, record keeping, filing, and report generation related to admissions and operations.
Coordinate with the finance department on fee collection, invoicing, and financial aid documentation.
Manage inventory of office and admission supplies, ensuring adequate stock levels.
Develop and streamline operational procedures to enhance efficiency across the admission and front desk functions.
Assist in scheduling appointments, meetings, and events for the admissions and management teams.
3. Front Desk & Reception Management
Manage the main reception area, serving as the first point of contact for all visitors, phone calls, and emails, providing a welcoming and professional impression.
Efficiently handle a high-volume, multi-line phone system, directing calls appropriately and taking detailed messages.
Receive and distribute mail and packages.
Supervise and train junior front desk staff, ensuring consistent service standards.
4. Property & Facility Management Support
Act as a liaison with property management vendors (e.g., cleaners, security, maintenance technicians) to ensure the facility is well-maintained.
Conduct daily walk-throughs to identify and report any maintenance, safety, or housekeeping issues.
Manage access control systems, including key distribution for staff and visitors as needed.
Assist in coordinating office moves, renovations, or setup for special events.
