Job Summary



The Administrative Officer will be responsible for managing and overseeing the school's day-to-day administrative, facility, and operational functions. The role involves ensuring smooth campus operations, supporting staff and students, and maintaining an efficient, safe, and well-organized environment.

Candidates with prior experience in educational institutions such as schools or colleges will be given preference.



Roles and Responsibilities1. General Administration & Facility Management



Oversee daily administrative and facility operations to ensure a safe, efficient, and compliant environment. Manage classroom and office space allocation, seating arrangements, and parking facilities. Coordinate campus maintenance activities including air conditioning, electrical, painting, and housekeeping. Implement and monitor safety, security, and hygiene protocols across the premises. Ensure smooth coordination between departments, teaching, and non-teaching staff for administrative requirements.

2. Event & Meeting Coordination



Plan and organize school events, meetings, annual functions, and conferences. Manage calendar scheduling, hall/room bookings, and logistics support for events. Coordinate travel and accommodation arrangements for guests, staff, and dignitaries.

3. Housekeeping & Support Staff Management



Supervise housekeeping and support staff including recruitment, attendance, and performance monitoring. Ensure campus cleanliness, hygiene, and maintenance of all facilities. Conduct regular audits and provide training sessions to staff for improved efficiency.

4. Procurement & Vendor Management



Handle procurement of school supplies, stationery, uniforms, furniture, and consumables. Identify, evaluate, and manage vendors for timely supply and quality service. Negotiate contracts, handle AMC renewals, and maintain purchase documentation.

5. Budgeting & Cost Control



Prepare annual administrative budgets and monitor day-to-day expenses. Implement cost-saving initiatives without compromising quality. Ensure timely processing of bills, petty cash, and vendor payments.

6. Communication & Correspondence



Manage official correspondence, including emails, letters, circulars, and courier dispatch. Draft internal and external communications as required by the management. Maintain organized filing and documentation for all administrative communications.

7. Employee Support & Campus Engagement



Coordinate onboarding support such as welcome kits, ID cards, and access setup. Handle exit formalities and asset handover procedures. Support in organizing staff welfare activities, celebrations, and recognition events.

8. Infrastructure & Asset Management



Oversee maintenance of office and classroom assets including furniture, IT, and telecom equipment. Manage telecom, broadband, and intercom facilities including billing and records. Ensure proper inventory management and documentation of all assets.

9. Documentation & Reporting



Maintain and update all administrative and statutory records. Prepare MIS reports (daily/weekly/monthly) for management review. Ensure adherence to institutional policies and compliance standards.

10. Special Projects & Support



Support special projects, audits, and accreditation processes. Assist in implementing process automation and school improvement initiatives.

Candidate Requirements



Qualification:

Graduate/Postgraduate in Administration, Management, or related field.

Experience:

Minimum 3-7 years of relevant experience in school or college administration (mandatory preference for institutional experience).

Skills:

Excellent organizational and communication skills. Strong leadership and people management abilities. Proficiency in MS Office and administrative systems. Ability to multitask and manage time efficiently.
