Key Responsibilities
1. Operational Management
Oversee all front office functions including reception, inbound calls, visitorprotocols, and enquiry handling.
b. Manage daily attendance, enrollment databases, fee collection records, andparent contact lists with precision and confidentiality.
c. Prepare and maintain MIS reports, documentation for audits, and center-leveldashboards for leadership and regulatory review. Resource & Vendor Coordination.
Supervise procurement and inventory of stationery, pantry items, learningmaterials, and maintenance supplies.b.
Maintain vendor relationships, ensure timely service delivery, and upholdbudgetary discipline in purchases.
3. Parent Communication & Experiencea. Serve as the first point of contact for families, supporting with queries,admissions, orientation, and documentation.b. Manage outbound communication through emails, messages, andnewsletters, and coordinate school social media content if required.c. Support event logistics for Parent-Teacher Meetings, workshops, celebrations,and community gatherings
4. Compliance & Safety Oversighta. Ensure adherence to health, safety, hygiene, and fire safety norms in line withECCE guidelines.b. Organize and update regulatory documentation, compliance records, andinspection files.c. Support the implementation of child protection protocols and riskmanagement systems.
5. Team & Calendar Coordinationa. Maintain staff schedules, leave records, and support onboarding logistics fornew team members.b. Coordinate logistics for training sessions, staff meetings, and leadershipvisits.
Required Qualifications & Experience
1. Bachelor's degree in Administration, Management, or a related discipline.
2. 2-5 years of experience in school administration, early years operations, or customer facing roles in service industries.
3. Exposure to early childhood or education sector is preferred but not mandatory.Desired Skills & Attributes1. Highly organized with excellent time and task management skills.
2. Warm, professional, and child-friendly presence, able to connect with parents, staff,and vendors alike.
3. Proficiency in tech tools, Google Workspace and Microsoft, spreadsheets, andcommunication platforms.
4. Effective verbal and written communication in English; fluency in local language is a plus.
5. Demonstrated ability to multi-task, troubleshoot, and handle sensitive situations with discretion.
6. Willingness to be hands-on during school events and emergencies, with a flexible attitude and collaborative spirit.
