Admin Executive

to oversee and ensure seamless day-to-day operations

Key Responsibilities:



1.

Administrative Operations:



o Develop and implement effective administrative processes and systems to maintain efficient office operations.

o Manage daily administrative tasks, including housekeeping, facilities management, and infrastructure maintenance.

2. Facility Management:



o Ensure workplace safety and security for employees, aligning with organisational policies.

o Oversee facilities management activities, such as AMC renewals, vendor agreements, and maintenance schedules.

o Collaborate with vendors and service providers to optimise the quality and cost-effectiveness of facility services.

o Conduct routine inspections to ensure the functionality of office equipment, including printers, EPABX systems, CCTV, access controls, and video conferencing tools.

3. Inventory and Supplies:



o Monitor and manage office supply inventory, coordinating with stakeholders to ensure uninterrupted operations.

o Conduct regular stock checks for housekeeping and pantry supplies, maintaining adequate inventory levels.

4. Cost Optimization:



o Identify and implement innovative cost-saving measures in administration and facilities management.

5. Regulatory Compliance and Documentation:



o Handle paperwork and documentation related to the Institute of Chartered Accountancy and other relevant regulatory requirements.

6. Manpower Coordination:



o Effectively manage administrative staff to ensure smooth day-to-day office operations.

Qualifications and Skills:



Bachelor's degree in Business Administration or a related field. 10+ years of experience in administrative roles, preferably in a professional services or corporate environment. Strong organisational and multitasking skills with attention to detail. Excellent communication and interpersonal skills to liaise with vendors, service providers, and internal teams. Proficiency in MS Office Suite (Word, Excel, PowerPoint).
