Job Description

The Administration Executive will handle day-to-day office and facility operations, support HR and compliance activities, and manage export sales coordination, logistics documentation, and import costing. The role requires strong coordination skills, attention to detail, and the ability to work with multiple internal teams, vendors, and clients.

Key Responsibilities:



Administration & Operations



Manage daily office operations including biometric attendance, floor management, and housekeeping coordination. Supervise housekeeping schedules and ensure cleanliness and maintenance standards. Handle procurement of office supplies and essentials, including quotation collection, purchase orders, and vendor follow-ups. Coordinate facility and building-related activities such as rent invoicing, KSEB bills, and maintenance issues.

Compliance, Insurance & HR Support



Coordinate insurance renewals, licenses, inspections, and compliance documentation. Support HR activities including recruitment coordination, onboarding, and preparation of HR-related documents. Coordinate with housekeeping agencies and manpower suppliers regarding attendance and workforce requirements.

Export Sales & Logistics Coordination



Collect rates from vendors and manufacturers, prepare export costing, and submit for approval to Accounts and Management. Share approved costing files and quotations with the concerned department. Upon receipt of client PO, prepare Proforma Invoices (PI), create sales orders, and coordinate with Accounts for invoice preparation. Prepare required shipment and export documents.

Import Costing



Prepare import costing for international brands as per management instructions.

Vendor & AMC Coordination



Coordinate vendors and manage Annual Maintenance Contracts (AMCs), including quotations, renewals, and service follow-ups.

Skills & Qualifications:



Bachelor's degree in Business Administration, Operations, or a related field. 2-4 years of experience in administration, operations, or export sales coordination. Strong communication, coordination, and multitasking skills. Proficiency in MS Office applications. Knowledge of export documentation, costing, compliance, and vendor management is an added advantage.

Pay: ₹20,000.00 - ₹25,000.00 per month
