We are seeking a highly organized and professional Administrative Assistant to support our office operations. The ideal candidate will possess excellent communication skills, strong computer literacy, and the ability to manage multiple tasks efficiently. This role involves providing exceptional customer service, managing administrative duties, and ensuring smooth daily operations within a dynamic office environment. Prior office management, clerical experience, and familiarity with various office software are highly valued.
Duties
Answer and direct multi-line phone systems with professionalism and courtesy
Manage front desk responsibilities, including greeting visitors and handling inquiries
Perform data entry, filing, and document proofreading to maintain accurate records
Schedule appointments and manage calendar and calendar management tasks
Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative functions
Provide customer support via phone, email, or in person, ensuring excellent service standards
Assist with bookkeeping tasks and basic office management duties
Support personal assistant tasks as needed, including organizing meetings and travel arrangements
Maintain office supplies inventory and coordinate with vendors as necessary
Handle correspondence, prepare reports, and perform general clerical duties efficiently
Skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Strong organizational skills with excellent time management abilities
Experience with QuickBooks and data entry processes
Exceptional phone etiquette and customer service skills
Bilingual abilities are a plus for effective communication with diverse clients or staff
Office management experience including front desk operations and clerical support
Familiarity with multi-line phone systems and calendar management tools
Attention to detail for proofreading, filing, and maintaining accurate records
Ability to work independently while managing multiple priorities effectively
Personal assistant or medical/dental receptionist experience is advantageous but not required
