We are seeking a highly organized and proactive professional who can efficiently manage
travel desk operations, administrative responsibilities, and executive assistance
. The ideal candidate should be detail-oriented, have excellent communication skills, and the ability to multitask across different functions while maintaining confidentiality and professionalism.
Key Responsibilities1. Travel Desk Management
Handle end-to-end domestic and international travel arrangements (flights, hotels, cabs, visa, forex).
Negotiate with vendors and agencies to optimize travel costs.
Maintain travel records and ensure adherence to company travel policies.
Provide timely support for last-minute travel requirements and itinerary changes.
2. Administration
Oversee office facilities, vendor management, housekeeping, and office supplies.
Ensure smooth functioning of day-to-day office operations.
Manage asset inventory, AMCs, and procurement of office requirements.
Coordinate events, meetings, and office-level activities.
Handle compliance with internal policies and external statutory requirements.
3. Executive Assistant (EA)
Act as the first point of contact for the reporting manager, managing calendars, scheduling meetings, and coordinating appointments.
Prepare reports, presentations, and other documentation as required.
Handle confidential information with integrity and discretion.
Coordinate with internal and external stakeholders on behalf of the reporting manager.
Track deadlines, action points, and ensure timely follow-ups.
Required Skills & Competencies
Strong organizational and multitasking abilities.
Excellent communication & interpersonal skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Knowledge of travel booking platforms and vendor negotiations.
Ability to maintain confidentiality and handle sensitive information.
Problem-solving mindset with attention to detail.
Qualifications & Experience
Bachelor's degree in Business Administration, Hospitality, or related field.
3-6 years of experience in Travel Desk, Administration, or Executive Assistant roles.
Experience in handling senior management and multi-functional responsibilities preferred.
