To perform a wide range of administrative duties for PETA India Delhi Office

Duties and Responsibilities
Provide routine administrative and other support to the Director of Administration and IT.
Assist administrative staff on a wide range of office duties, as instructed by the Director of Administration and IT.
Manage travel tickets and hotel bookings for PETA India staff members promptly and with attention to detail.
Maintain an updated list of recommended hotels across different states; collect regular feedback from staff and revise the database accordingly.
Follow up with vendors to ensure timely receipt of invoices and submit them to the Accounts Department in an organized manner.
Handle procurement requests as directed by the Director of Administration and IT; conduct thorough product research and prepare comparative charts with recommendations for the most suitable options.
Coordinate with vendors for printing, repairs, and other administrative requirements as needed.
Provide a prompt and courteous welcome to all guests, including ensuring that they are offered water and refreshments (as required). And maintain the decorum of the office.
Handling any work given outside the office, such as printing, delivering/collecting files from court/ lawyers, etc.
Maintain an orderly, organised and clean office work environment, including ensuring that costumes and hard copy files are in order, bringing any problems whatsoever to the notice of the supervisor
Maintain inventories for various departments
Fill in for reception duties when required
Distribute couriers or parcels among the correct employees in an orderly manner
Assist staff members in scanning, printing, faxing and other such office needs
Train new employees on using the printer, copier and other basic office functions
Assist with demonstrations, shoots, youth outreach and other events.
Ensure the safety and security of the office at all times.
Care for any animals in the office, including our resident animals.
Maintain the incoming and outgoing register for visitors
Secure the premises and personnel by patrolling the property, monitoring surveillance equipment, inspecting buildings, equipment, and access points, and controlling entry.
Oversee and monitor the work of housekeeping staff and security guards to ensure expected standards are maintained. Promptly report any issues or concerns to the reporting manager.
Prevent losses and damage by timely reporting of irregularities; informing violators of policy and procedures; restraining trespassers.

Position Requirements:
Qualification - Any Graduate
Experience in a similar role preferred
Demonstrated ability to interact in a professional and courteous manner
Proven ability to establish priorities and meet deadlines
Demonstrated organisational skills and meticulous attention to detail
Demonstrated ability to be trustworthy
Proven ability to maintain strict confidentiality at all times
Good writing skills and an excellent phone manner
Fluency in written and verbal Hindi and English
Professional appearance and adnce to a vegan lifestyle
Support for PETA's philosophy and the ability to professionally advocate PETA's positions on issues
Commitment to the objectives of the organisation
