Job Description

Will be responsible for overseeing and managing all administrative functions of the factory.



This includes ensuring statutory compliance, labor law adherence, facility and asset management, security, transportation, and coordination with government bodies.



The role requires a strong understanding of factory operations, legal and regulatory frameworks, and effective people management skills.




Key Responsibilities:




General Administration:





Ensure smooth day-to-day administrative operations of the factory premises.



Manage infrastructure including office buildings, factory facilities, and utilities.



Oversee housekeeping, canteen, pest control, and sanitation to ensure hygiene and safety standards.



Supervise transport arrangements for employees and goods (if applicable).



Monitor and control administrative budgets, expenses, and procurement of



supplies and services.




Statutory Compliance & Legal:





Ensure compliance with Factories Act, Shops and Establishment Act, Contract Labor (Regulation and Abolition) Act, ESIC, PF, Gratuity Act, and other relevant laws.



Liaise with statutory and government bodies such as Factory Inspectorate, Labor Office, Pollution Control Board, etc.



Maintain all statutory records, licenses, and timely renewals.



Handle inspections, audits, and correspondence with legal and regulatory authorities.




Security & Safety:





Supervise and coordinate with third-party security agencies for perimeter security, visitor management, and asset safety.



Implement emergency response systems, evacuation procedures, and access control protocols.



Support the EHS (Environment, Health & Safety) team with administrative aspects of compliance and reporting.




Labor & Contract Workforce Management:





Administer all contract labor processes in line with legal requirements.



Coordinate with contractors and vendors for manpower supply and service agreements.



Maintain up-to-date records of attendance, working hours, and wages of contract workers.



Address grievances, disputes, and disciplinary issues in coordination with HR and labor officers.




Liaison & Coordination:





Serve as the key contact person for all factory-related administrative



communication with local authorities.



Establish good rapport with local community leaders, government officials, and law enforcement.



Facilitate government approvals and permits for projects, expansions, and other initiatives.




Facility Management & Asset Maintenance:





Oversee maintenance and upkeep of office equipment, factory buildings, common areas, electricals, and utilities.



Coordinate repairs, AMC contracts, and vendor management.



Ensure fire safety equipment, DG sets, HVAC, and other critical infrastructure are regularly serviced and operational.




Desired Candidate Profile:





Minimum 10 years' experience in administrative management, preferably in a factory or manufacturing setup.



Strong working knowledge of statutory compliances, factory laws, labor laws, and government procedures.



Excellent communication, negotiation, and interpersonal skills.



Proven leadership and team management abilities.



Sound judgment and decision-making skills with a proactive problem-solving approach.



Proficient in MS Office and administrative tools.




Primary Responsibilities





To protect the property, material etc. with effective control on security.



Government compliance to run the business i.e. several required licenses from different government body.



Responsible for effective functioning, coordination and management of tasks done by the administrative department.



Control and knowledge of the Housekeeping, Fire safety, Security, etc.



Responsible for immediate action to maintain the complete office functioning ensuring optimal output - getting all the repairs done, buying new furniture or equipment's as per requirement with approval from the CFA.



To supervise and direct all daily operations of administrative staff. And also monitor the casual / contract labour working.



To document and maintain office inventory.



To keep a check on utilization of stationery and office supplies in order to avoid any misuse.



To ensure effective housekeeping and upkeep of both the offices Premises.



To ensure adequate maintenance of office space, infrastructure, factory and all the office property - getting regular housekeeping, pest control, and climate control done ensuring environmental balance.



To maintain the database of vendors and service providers in the concerned office area and interacting with them for regular services / supplies.



To maintain database of various service providers - hotels / lodges, caterers / restaurants, travel agents etc.



To overview the maintenance of records of all inward and outward mails ensuring prompt and correct communication.



To ensure that all the administration related complaints are addressed and resolved in timely manner.



To ensure an arrangement for clients' visits and other meetings including lodging, boarding and travel.



To ensure proper co-ordination with regards to arrangement of vehicles for clients / visitors.



To manage daily transport for the office staff and handling all transport related issues with regards to any problems faced by the employees



To coordinate for guest house bookings / provisions for accommodation of new joiners.



Making all the arrangements for new joiners - ID cards / swipe cards, maintaining attendance.



To ensure that the complaints regarding phone, generator back up, computers operation are addressed on emergency basis.



To supervise and ensure that the maintenance required for telephone extensions & EPBX are done promptly and in timely manner.



To have a hold of local skilled workers like meson, plumber, Electrician etc. to carryout regular factory maintenance.



To liaison with government, police, local government authorities for licensing for Electricity, Telephone, IT, BMC/VVMC etc.



To supervise all construction / repair / renovation work of Fixed Assets



To supervise maintenance of attendance & leave record of all the staff members at office



To address any emergency from time to time



To report into the L1 & L2 Manager on monthly basis



To undertake any other work assigned by the seniors and Directors



Maintain fuel accounts



Ensure water availability for all functions



Rounds of factory / office premises as advised to ensure proper security



Ensure all employees follow the uniform code and report any findings to hod



Ensure that the drivers are available for operating vehicles as needed



All statutory payments to be done on time and accounts maintained
