Job Description

The Admin Officer will be responsible for ensuring smooth day-to-day office operations, coordinating administrative functions, and assisting in finance-related activities, particularly in managing outstanding client payments. This dual role demands strong organizational, communication, and follow-up skills, with the ability to balance administrative duties with financial discipline.

Key Responsibilities



1. Office Administration



Oversee daily office operations including facility management, supplies, and vendor coordination. Maintain office records, files, and documentation systematically. Coordinate travel arrangements, logistics, and accommodation for staff. Manage correspondence (emails, letters, courier services) and ensure timely communication flow. Support HR with employee records, attendance, and leave management. Ensure compliance with company policies, safety protocols, and administrative procedures.

2. Finance & Payment Collection



Coordinate with clients for outstanding payment collection as per due dates. Track, update, and maintain records of receivables in coordination with the Accounts team. Send reminders and follow up with clients via email/phone for pending payments. Share periodic reports on outstanding payments with management. Assist finance team in preparing invoices, receipts, and reconciliation statements. Escalate unresolved or long-pending payments to the management for further action.

3. Coordination & Reporting



Work closely with Sales and Accounts teams to track client commitments and receivables. Provide weekly updates on administrative tasks and payment status to management. Act as a single point of contact for admin-related queries from staff and vendors. Support internal audits and provide documentation when required.

Qualifications & Skills



Graduate (preferably in Commerce, Business Administration, or related field). 2-4 years of experience in Administration and/or Finance support roles. Strong communication and follow-up skills (written & verbal). Good knowledge of MS Office (Word, Excel, PowerPoint). Ability to handle multiple responsibilities with attention to detail. Proactive, organized, and capable of working independently.

Pay: ?12,613.43 - ?25,000.00 per month
