Role Summary
The Administration Officer will oversee all office administrative activities, ensuring smooth day-to-day operations across facilities, vendor management, procurement, travel, and employee support services. The role demands a proactive professional who can maintain a high standard of organizational efficiency and workplace experience.
Key Responsibilities
Office & Facility Management
Oversee general office operations including housekeeping, pantry, maintenance, and security.
Ensure office premises are safe, well-maintained, and aligned with company standards.
Coordinate with vendors for repairs, maintenance, and infrastructure needs.
Manage access cards, visitor management, and front-desk operations.
Procurement & Vendor Management
Source and negotiate with vendors for office supplies, equipment, and services.
Maintain vendor contracts, renewals, and ensure compliance with company policies.
Process purchase orders, quotations, and invoices in coordination with Finance.
Travel & Logistics
Handle travel bookings (air, train, cab, accommodation) for employees and guests.
Coordinate logistics for official events, training, and offsites.
Asset & Inventory Management
Maintain records of office assets, stationery, and IT/non-IT equipment.
Conduct periodic inventory checks and audits.
Employee Support & Engagement
Ensure a smooth onboarding experience in coordination with HR and IT.
Support in organizing employee engagement activities and company events.
Address day-to-day administrative queries and provide timely resolutions.
Compliance & Documentation
Maintain updated records of agreements, licenses, and statutory documents.
Support audits and ensure adherence to internal and external compliance standards.
Qualifications & Experience
Bachelor's degree in Business Administration, Commerce, or related field.
6 years of experience in Administration / Facilities / Operations roles.
Experience in a manufacturing, tech, or aviation/start-up environment preferred.
Skills & Attributes
Strong organizational and multitasking skills.
Excellent communication and negotiation abilities.
Proficient in MS Office (Excel, Word, PowerPoint).
Ability to handle confidential information with discretion.
Customer-service orientation and a problem-solving mindset.
