The Administration Manager oversees the daily administrative operations of the therapy centre, ensuring smooth functioning, efficient coordination between departments, and exceptional client service. The role requires excellent English communication skills--both written and spoken--to manage correspondence, reports, and interactions with clients, therapists, and external partners.
Key Responsibilities:
1. Administrative Operations
Manage day-to-day administrative tasks including reception, scheduling, and office coordination.
Supervise support staff (receptionists, clerks, housekeeping, etc.).
Ensure the therapy centre's facilities, supplies, and equipment are well-maintained.
Maintain accurate records, reports, and documentation (attendance, invoices, client files, etc.).
2. Client and Therapist Coordination
Coordinate appointments, therapy schedules, and session bookings.
Serve as the main contact for client queries and complaints, ensuring professional and timely responses in fluent English.
Support therapists with administrative needs and ensure smooth workflow between clinical and admin teams.
3. Financial & Resource Management
Assist in budgeting, billing, and petty cash management.
Liaise with accounts department for invoices, payments, and payroll-related documentation.
Monitor procurement of office and therapy materials.
4. Compliance & Reporting
Maintain confidentiality of client and staff information.
Ensure compliance with health, safety, and data protection standards.
Prepare administrative and performance reports for management.
5. Communication & Coordination
Draft professional emails, reports, and communications in clear, fluent English.
Coordinate with vendors, service providers, and external stakeholders.
Organize meetings, workshops, and training sessions.
Qualifications & Skills:
Bachelor's degree in Administration, Management, or a related field.
Minimum 3-5 years of experience in office administration or management (experience in healthcare or therapy settings preferred).
Excellent command of English (spoken and written).
Strong organizational and multitasking skills.
Proficient in MS Office Suite (Word, Excel, PowerPoint).
