Position Overview
The
Administration Manager
plays a pivotal role in ensuring the smooth and efficient operation of all administrative functions within the school. The role involves overseeing day-to-day operations, managing administrative staff, liaising with parents, vendors, and external stakeholders, and ensuring that all non-academic aspects of the school function seamlessly to support student learning and staff productivity.
Oversee and coordinate all administrative processes, ensuring the school runs efficiently and effectively.
Supervise administrative and support staff, assigning tasks and monitoring performance.
Develop and implement administrative systems, policies, and procedures aligned with the school's goals.
Ensure smooth coordination between academic and non-academic departments.
2. Parent Relations
Act as the primary contact for parents regarding administrative queries, concerns, and feedback.
Manage communication channels between parents and the school management.
Support the Principal in organizing parent meetings, open houses, and school communication updates.
3. Vendor & Resource Management
Manage relationships with vendors, contractors, and service providers (e.g., transport, maintenance, stationery, catering, etc.).
Negotiate contracts and ensure quality and timely delivery of goods and services.
Maintain accurate records of vendor payments, contracts, and renewals.
4. Event & Facility Management
Plan and coordinate all school events, functions, and celebrations, ensuring timely execution and logistical readiness.
Oversee maintenance, cleanliness, and security of the school premises.
Manage property upkeep, repairs, and renovation projects in coordination with vendors.
5. Stock & Inventory Management
Maintain proper records of school assets, furniture, lab equipment, and stationery.
Conduct periodic stock audits and ensure optimal inventory levels.
Monitor utilization and prevent wastage or loss of school resources.
6. External Affairs & Compliance
Coordinate with local authorities, educational boards, and government bodies for licenses, approvals, and inspections.
Ensure compliance with all statutory and safety regulations.
Represent the school in community, media, and public relations activities when required.
7. Leadership & Team Management
Lead and motivate the administrative team to perform efficiently and with accountability.
Conduct regular meetings to review performance, set goals, and resolve issues.
Provide training and professional development support for administrative staff.

Qualifications & Experience
