What you'll do in the role:
Exclusive control of business schedule and diary management. Maintain calendars for Management, arrange internal and external meetings. Pro-actively ensure diaries do not have clashes, use initiative to find resolutions and workarounds.
Extensive verbal and written interaction with operational group and internal colleagues.
Co-ordinate and book all travel including flights, hotels, currency, taxis etc within the Firmwide Expense Policy.
Ensure relevant agendas and itineraries are organized in advance for visitors, from other locations as well as provide admin support in terms of hotels, workspace, office access, etc.
Provide admin support for any ad hoc team projects e.g. offsites, onsite, town halls, social events, etc and coordinating with relevant teams / support team for logistics.
Assist with new hire orientation and IT setup/coordination, taking complete responsibility for onboarding of New Hirers in the team and coordinate with HR, IT and other teams for their account creation, desk, PC setup and other admin support required.
Updating of Space Management system of workspace in the system.
Keep a track of Visitors and updating the Corporate Services team of their travel dates.
Coordinate with vendors for processing monthly invoices
Supporting business during hiring drives, schedule interviews with candidates, including video conferences, etc. and coordinate with selected candidates.
Assist in collecting and submitting expense statements and coordinating reimbursements.
Make photocopies, scan documents, mail packages, and assist with any other administrative office duties where required.
Handle the purchasing and maintenance of departmental office supply
Coordinate departmental events (e.g., town halls, off sites, luncheons, etc.)
Assist in preparing reports, metrics, presentations, and other documents using Microsoft Office products such as PowerPoint, Excel, and Word
What you'll bring to the role:
Prior administrative or related experience, minimum 5 years.
Excellent written, verbal and interpersonal communication skills.

Highly service-oriented individual with the ability to work well both as an individual contributor and -as part of a team.
