Job Description

Key Responsibilities

1. Client Coordination & Communication



Interact with clients professionally via calls, emails, WhatsApp & meetings Arrange and coordinate meetings, video calls, follow-ups, and schedules Maintain clear communication flow between clients and internal teams Handle incoming client queries and ensure timely responses

2. Documentation & Administrative Support



Prepare and manage documents, letters, official communication, and presentations Maintain databases, trackers, and organized filing (digital + physical) Ensure accuracy and timely completion of required paperwork Assist in preparing reports, summaries, and internal communications

3. Team Tracking & Internal Coordination



Track the daily progress and tasks of team members Maintain performance and update sheets for ongoing work Coordinate with different departments--accounts, leasing, operations, architect, and field staff Ensure timely follow-ups and closure of assigned tasks

4. Office Administration



Oversee routine office administration activities Maintain calendars, schedules, and priority lists for management Coordinate with vendors, service providers, and support staff Ensure smooth execution of day-to-day office functions

5. Tech & Reporting



Create and manage Excel trackers, Google Sheets, and PowerPoint presentations Handle basic tech requirements, software tools, and communication platforms Prepare daily/weekly reports for management revieW

Qualifications & ExperienceMust-Have



Graduate/Post Graduate in any discipline 2-6 years of experience in administration, client coordination, back-office, or operations Excellent communication skills (English & Hindi) Strong command over MS Word, Excel, PowerPoint, Google Workspace Pleasant personality and professional etiquette

Good to Have



Experience in real estate, consulting, corporate offices, or client-facing roles Ability to learn new tech/software quickly Strong follow-up and task management skill
