Job Summary:



The Admin Assistant will provide essential support to the organization's daily operations by managing administrative tasks, coordinating schedules, and assisting various departments. This role requires excellent organizational skills, attention to detail, and the ability to communicate effectively with internal and external stakeholders.

Key Responsibilities:



A) Office Management:



1. Handle office supply management, including tracking inventory and placing orders.

2. Maintain a clean and organized office environment, coordinating with facility management as needed.

3. Address any maintenance issues and arrange repairs or services to ensure the office operates smoothly.

B) Scheduling and Coordination:



1) Organize and schedule meetings, appointments, and events for team members and management.

2) Assist in preparing meeting agendas, taking notes, and distributing minutes.

3) Manage travel arrangements, including booking transportation and accommodations.

C) Communication Support:



1. Act as a point of contact for inquiries, directing calls, and responding to emails professionally.

2. Coordinate with internal teams and external partners to facilitate efficient communication.

3. Prepare and distribute internal communications as requested by management.

D) Documentation and Record Keeping:



1) Maintain accurate filing systems and ensure important documents are stored securely.

2) Assist in preparing reports, presentations, and other necessary documents.

3) Update and manage contact lists, directories, and other administrative databases.

E) Project and Task Support:



1. Provide administrative assistance on specific projects, including data entry, research, and documentation.

2. Assist other departments with miscellaneous tasks as needed to ensure smooth operations.

3. Participate in planning and organizing office activities or team-building events.

Required Skills:



1) High school diploma or equivalent; a college degree is a plus.

2) Minimum of 1 year of experience in an administrative or assistant role.

3) Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

4) Strong organizational and time-management skills.

5) Excellent communication skills, both written and verbal.

Preferred Skills:



1. Knowledge of office equipment (e.g., printers, fax machines) and technology.

2. Experience with scheduling software and digital calendars (e.g., Google Calendar, Outlook).

3. Familiarity with data entry and basic record-keeping.

4. Basic knowledge of event planning and coordination.
