Role summary
The Administration and Procurement Manager will oversee all administrative functions and lead the end-to-end procurement process for both IT and non-IT goods and services. This role is responsible for driving cost-effectiveness, optimizing operational efficiency, and ensuring compliance with organizational policies and procedures.
Key responsibilities
General administration
Administrative process management: Plan and coordinate administrative procedures and systems, devising ways to streamline processes and ensure smooth business operations.
Facilities management: Oversee maintenance activities, office supplies inventory, and supervise support staff (housekeeping, security, office assistants).
Asset and inventory management: Manage the inventory of all office supplies, assets, and equipment. Coordinate disposal of surplus materials.
Travel and logistics coordination: Handle travel management and logistics for staff and events.
Compliance and reporting: Ensure all administrative procedures adhere to internal policies and relevant regulations. Prepare regular reports on administrative metrics.
Procurement (IT and non-IT)
Strategic sourcing: Develop and implement cost-effective and innovative procurement strategies for all goods and services.
Vendor management: Identify, evaluate, and manage relationships with suppliers. Negotiate contracts and terms to secure the best value for money.
IT procurement: Lead end-to-end sourcing efforts for all technical and IT-related categories, including hardware, software, services, and specialized equipment.
Non-IT procurement: Manage the purchasing of all non-IT goods, such as office supplies, furniture, and other operational materials.
Procure-to-pay process: Oversee the complete procurement cycle, from needs identification and purchase order creation to invoice processing and timely payment.
Risk management: Conduct risk assessments on potential contracts and agreements to mitigate losses and supply chain disruptions.
Budgeting and cost control: Monitor department budgets, perform cost analysis, and track savings.
Required skills and qualifications
Qualifications
Bachelor's degree in business administration, supply chain management, or a related field. A master's degree is often preferred for senior roles.
A minimum of 5 years of progressive experience in administration, procurement, or a related area.
Relevant professional certification (e.g., CIPS, CPSM) is a plus.
Skills
Excellent negotiation and communication skills: The ability to build strong supplier relationships and negotiate favorable terms is critical.
Strong analytical and financial acumen: Experience with cost analysis, budgeting, and data-driven decision-making.
Relationship management: A knack for fostering positive and long-term relationships with both internal stakeholders and external vendors.
Organizational and project management skills: Ability to manage multiple tasks and projects simultaneously and see them through to completion.
Technical proficiency: Expertise with MS Office (especially Excel) and familiarity with procurement software (e.g., ERP, P2P solutions).
Problem-solving: A proactive and resilient attitude toward solving complex procurement issues.
Attention to detail: Scrutinizing contracts, orders, and invoices to minimize errors.
