Job Description

:

We are looking for an Accounts and Admin Executive who will play a key role in ensuring the smooth operational and financial functioning of our accounting firm. This individual will be responsible for providing robust administrative support while also handling day-to-day bookkeeping, financial documentation, and internal reporting. As Xcel Accounting operates on a remote working model, the candidate must be self-motivated, digitally proficient, and capable of working independently while staying connected with the wider team.

Key Responsibilities:Administrative Support:

Manage calendars and schedules for senior executives.

Coordinate internal and client meetings, appointments, and conference calls.

Provide excellent client service by addressing inquiries and ensuring documentation is received on time.

Maintain and update internal databases and filing systems.

Liaise with vendors as required.

Time & Attendance:

Maintain accurate records of employee attendance and work hours.

Assist in the preparation of timesheets and payroll data.

Invoicing and Collections:

Generate and send invoices to clients accurately and in a timely manner.

Maintain records of invoices and payment receipts.

Monitor outstanding client payments and follow up to ensure timely collections.

Coordinate with the finance team to resolve payment issues.

Tracking Budget vs. Actuals & KPI's:

Assist the finance department in tracking budget performance.

Generate reports comparing budget projections with actual financial results.

Help monitor other key performance indicators.

Bookkeeping and Accounting Functions:

Perform data entry of financial transactions into accounting software.

Assist with bank reconciliations and ledger maintenance.

Manage accounts payable and accounts receivable entries.

Support preparation of monthly management reports and financial statements.

Assist in VAT filings and audit preparations as required.

Coordinate with the bookkeeping team on document collection and classification.

Qualifications:

Bachelor's degree in Accounting, Business Administration, or a related field is preferred.

Prior experience in a similar administrative and accounting role.

Strong working knowledge of accounting principles and bookkeeping systems.

Proficiency in Microsoft Office Suite (especially Excel) and accounting software Xero.

Excellent organizational and time-management skills.

Strong interpersonal and communication abilities.

Job Type: Full-time

Pay: ?8,365.47 - ?25,000.00 per month
