The Admin will be responsible for ensuring the smooth functioning of our office, overseeing documentation tasks, and providing high-level administrative support to the Directors.
Key Responsibilities:
Office Management:
? Maintain office supplies, inventory, and procurement processes.
? Oversee office maintenance, cleanliness, and organization.
? Manage office events, meetings, and appointments.
? Handle office communication, including emails, calls, and visitor coordination.
? Create and manage spreadsheets, databases, and administrative records.
Documentation:
Maintaining and organizing official records, files, and documents
Preparing and updating reports, registers, and data sheets
Handling correspondence, letters, and email documentation
Ensuring proper filing (physical and digital) for easy retrieval
Supporting compliance and record-keeping as per organizational guidelines
Executive Assistance & Coordination:
? Provide administrative support to the Directors, including managing schedules and emails.
? Coordinate travel arrangements, itineraries, and event planning.
? Oversee office operations to ensure efficiency and effectiveness.
? Take on additional responsibilities as assigned by the leadership team.
Qualifications & Skills:
? Bachelor's degree in HR, Business Administration, or a related field (preferred).
? Strong organizational and time-management skills with attention to detail.
? Ability to multitask and handle conflicts effectively.
? English fluency, strong coordination ability and very strong computer skills
? Excellent communication and interpersonal skills.
? Proficiency in Microsoft Office Suite and Google Workspace.
? Knowledge of labor laws and HR best practices (preferred).
? Self-motivated and capable of working independently in a fast-paced environment.
