The Admin Executive is responsible for managing day-to-day administrative operations, ensuring smooth office functioning, supporting project teams, and coordinating with vendors, clients, and internal departments. The role requires strong organizational skills, attention to detail, and the ability to handle multiple administrative tasks efficiently in an electrical contracting environment.
Key ResponsibilitiesOffice Administration
Manage daily office operations and ensure smooth functioning
Maintain office records, files, and documentation (physical & digital)
Handle incoming calls, emails, and correspondence
Manage office supplies, stationery, and maintenance requirements
HR & Staff Support
Maintain employee records, attendance, and leave data
Coordinate recruitment activities, interviews, and onboarding
Assist in payroll inputs, statutory compliance records, and HR documentation
Coordinate staff travel, accommodation, and site-related logistics
Project & Site Coordination
Support project teams with documentation, reports, and correspondence
Maintain records related to projects, work orders, BOQs, and drawings
Coordinate with site engineers for administrative requirements
Track project-related approvals and submissions
Vendor & Client Coordination
Coordinate with vendors for office services, materials, and maintenance
Maintain vendor records and assist in purchase documentation
Support client communication related to documentation and administration
Accounts & Compliance Support
Assist accounts team with invoice tracking, expense statements, and vouchers
Maintain statutory and compliance-related documents
Support audits and internal reviews when required
General Duties
Ensure compliance with company policies and procedures
Prepare MIS reports and administrative summaries
Handle any other administrative tasks assigned by management
Required Skills & QualificationsEducation
Graduate in any discipline (B.Com / BBA / BA preferred)
Experience
2-5 years of experience in an administrative role
Experience in electrical, construction, or engineering companies preferred
Skills
Strong organizational and multitasking abilities
Proficiency in MS Office (Word, Excel, PowerPoint)
Good communication skills (verbal & written)
Knowledge of basic HR and office compliance processes
Ability to coordinate with multiple teams and sites
Preferred Attributes
Experience in EPC / Electrical contracting industry
Familiarity with documentation related to tenders and projects
Ability to work independently and under deadlines
