We are looking for a detail-oriented and proactive Front Office Executive/Admin to join our team. The ideal candidate will handle office operations, data management, department coordination, and provide essential administrative support to ensure smooth day-to-day functioning of the organisation.
Key Responsibilities:
1. Data & Record Management
Enter and update employee, vendor, and office-related data in spreadsheets and databases.
Maintain accurate and well-organised physical and digital files.
Ensure timely retrieval of records for management use.
2. Office Operations
Order, stock, and manage office supplies to ensure smooth day-to-day operations.
Monitor usage of stationery, pantry, and other consumables, avoiding shortages.
Maintain inward and outward registers and records.
Ensure cleanliness, safety, and functionality of the office environment.
Coordinate with facility management for repairs, housekeeping, and maintenance.
Share daily lunch menu and manage scheduling for the maintenance team.
Maintain and organise office equipment, ensuring availability and service schedules.
Prepare and maintain reports for Cab, Courier, Attendance, DG, Stock, Production, MIS, Leave register, and Diesel.
3. Support & Assistance
Provide administrative support to employees, managers, and departments.
Handle assigned tasks, track progress, and report to management.
Manage incoming/outgoing mail, couriers, and official communications.
Perform additional administrative duties as assigned.
4. Visitor & Customer Handling
Welcome and assist visitors/clients in a professional manner.
Respond to inquiries from employees, vendors, and stakeholders.
Maintain visitor logs and ensure adherence to security protocols.
Deliver excellent customer service and resolve minor issues effectively.
Maintain visitor's database
5. Communication & Coordination
Act as a communication link between management and staff.
Coordinate with HR, Accounts, Production, Sales, and other departments for smooth workflow.
Provide support to HR/Management during meetings.
6. Meeting & Event Support
Assist in organising internal meetings, training sessions, and office events.
Arrange meeting rooms, equipment, and refreshments.
7. Food & Facility Assistance
Coordinate daily food count and communicate with canteen/vendors to minimise wastage.
Support pantry and facility-related requirements.
Requirements:
Bachelor's Degree (B.Com / Any Graduate).
1 + above years of experience as an Administration
Strong organisational and multitasking skills.
Good communication in Tamil & English (verbal and written).
Proficiency in MS Office (Word, Excel, PowerPoint).
