Description: : Operations Executive This position will be responsible for analytical chemistry laboratory operation including managing the logistics, procurement, coordinating to obtain import / test license, inventory management and issuance and disposal of chemicals, reagent, consumables, glassware, and other lab supplies to support smooth functioning of analytical chemistry laboratory. Essential Duties and Responsibilities: Procurement, import & export logistics for samples Responsible for procurement of chemical, reagent, consumable, general lab supplies, glassware for client Analytical Chemistry Laboratory located at Bangalore R&D. Coordinate and follow-up with suppliers/vendors for quotation and initiating PR and getting delivery updates of shipment delivery ensuring business continuity. Coordinating with laboratory personnel regarding supplier confirmation and other PR related confirmations. Coordinating with laboratory personnel, regulatory and logistics team for sending or receiving consignments to or from other client locations and external partners/CROs within India as well as across the globe. Coordinating for export shipments and return shipments with stakeholder and the logistics team. Making GRN and verifying invoice against received quantity and inform stakeholders. Coordinating with user in verifying the invoice for the shipment against the import license with correct shipment mode with appropriate temperature conditions with data loggers. Verifying the reconciliation details with stakeholder and coordinating with local and global stakeholders for the shipment. Verification of shipment at Bangalore R&D for any damages and other incoming sample receipt formalities. Coordinating with user handling deviation from the incoming sample receipt, addressing any query. Inventory management and Store keeping Responsible for inventory management of analytical chemistry laboratory including but not limited to stock management for chemical, reagent, consumable and laboratory supplies, labeling, issuance and disposal. Responsible for the routine maintenance of chemical stores. Cylinder stock Maintenance - communicating with laboratory personnel and vendors for getting cylinders whenever required and maintaining minimum stock. Checking of material received from the supplier and storing the same in proper order. Coordinating with suppliers, vendors for on-time delivery to ensure business continuity. Generating work permit for vendors, suppliers as on when required. Ensuring good distribution practice (First in First out) and products stored first are retrieved first. Maintain inventory, registration and consumption, storage & disposal records of licensed products as per procedures and guidelines. Test licenses and Import licenses Applying import license for medical devices and drugs for Bangalore R&D facility. Maintain regulatory requirements for medical devices and drugs. Prepare regulatory documentation for DSIR, Test license, CDSCO applications as needed and submit. Determine submission strategy in line with business priority and obtain regulatory clearances Coordinate with Regulatory Authorities and respond to any questions/deficiencies/clarification for products that are submitted for approval. Coordinate with regulatory authorities for submissions/registrations, renewals. Identify and mitigate regulatory risks Review regulatory strategy, regulatory risks and challenges, submission planning. Review questions/deficiencies and responses to deficiencies for new applications. Sharing and updating the status of the import license to the stakeholders. Maintaining all import license status for Bangalore R&D analytical chemistry laboratory and responsible for renewal of license in due time. Coordinate with user in troubleshooting /query resolution (if any) with Regulatory and Technical team. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. List knowledge, skills, and/or abilities required. Bachelor\'s degree with 5+ years of experience in relevant industries (Pharmaceutical/Healthcare industries) in a procurement & logistics function Good understanding of laboratory practices, chemical management, logistics and import/test license. Interpret available information and make recommendations to resolve licensing and logistic challenges. Adhere to the quality systems, understand, and apply applicable corporate, divisional and departmental procedures as relevant. Good learning agility. Ability to objectively assess, organize, clarity of thoughts to communicate complex information. Appropriately prioritize assignments to meet project timelines. Ensure compliance with laboratory health and safety guidelines. Good knowledge of laboratory health and safety standards. Establish, maintain, and update documentation according to Good Documentation Practices. Ensure good internal and cross-functional communication and regular status update of activities.
