Role Overview:
The
Admin Officer
will oversee and manage all administrative, operational, and logistical functions of the NGO's field office at Umaraha, Mudli (Varanasi). The role involves ensuring smooth day-to-day operations, managing resources efficiently, supporting project teams, and maintaining compliance with organizational and statutory norms.
Oversee day-to-day office operations and ensure effective functioning of the NGO's premises.
Manage maintenance of office infrastructure, equipment, and supplies.
Supervise housekeeping, security, and vendor services.
2. Administrative & Logistical Support
Handle documentation, filing systems, and administrative correspondence.
Coordinate travel, accommodation, and logistics for staff and field visits.
Manage asset records, inventories, and procurement processes.
3. Human Resource & Attendance Support
Maintain attendance records, leave management, and basic HR documentation.
Support recruitment coordination and onboarding for new staff.
Ensure compliance with organizational HR policies at the field level.
4. Financial & Procurement Coordination
Support the finance team in managing petty cash and expense reimbursements.
Liaise with vendors and ensure timely procurement following NGO policies.
Assist in preparing administrative budgets and expense reports.
5. Coordination & Communication
Coordinate between the head office, the field staff, and external stakeholders.
Provide administrative support for meetings, training sessions, and workshops.
Draft letters, memos, and communication material as required.
6. Compliance & Reporting
Ensure adherence to statutory and organizational compliance norms.
Maintain records for audits and prepare periodic administrative reports.
Support in managing licenses, permits, and renewals as per NGO standards.
Desired Candidate Profile:
Graduate in any discipline (preferably in Administration, Management, or Social Work).
Minimum
8 years of experience
in office administration, preferably with NGOs or development organizations.
Strong organizational, communication, and coordination skills.
Proficient in MS Office and basic accounting tools.
Ability to work independently and handle multiple responsibilities.
High integrity, commitment to social values, and a community-oriented mindset.
