Admin Officer



Key Duties & Responsibilities



As Admin Officer at DBS Global University, you would be responsible for overseeing and supporting the smooth running of administrative systems, campus operations, and institutional functioning. Typical responsibilities include:

Daily administrative operations:

Manage overall office operations -- including supervision of non-teaching staff, housekeeping, security, campus maintenance, transport, facilities etc

Record-keeping and documentation:

Maintain official records -- staff records (teaching & non-teaching), student records (if assigned), leave records, asset registers, inward/outward correspondence, approvals, and other institutional documents.

Policy & procedure implementation:

Develop or help implement internal policies and procedures for administration, maintenance, safety, housekeeping, infrastructure, and ensure compliance with institutional and statutory norms.

Campus infrastructure and facilities management:

Coordinate maintenance of buildings, furniture, office equipment, labs, classrooms, utilities (electricity, water, sanitation), security services, cleanliness and overall campus environment.

Coordination & liaison:

Act as liaison between departments, non-teaching staff, external vendors (housekeeping, security, maintenance), contractors, and statutory or regulatory agencies where required.

Support HR/Staff functions:

Assist with staff recruitment processes, maintenance of personnel files, leave and attendance records, staff communication, and ensure timely documentation.

Budgeting, procurement & resource management:

Oversee procurement of supplies, office stationery, maintenance items; manage vendor coordination, asset acquisition/disposal, and expenditure within the budget.

Support institutional events & activities:

Help coordinate logistics for events -- admissions, campus events, meetings, examinations (if not a dedicated exam officer), conferences, campus visits, and other academic or administrative events.

Staff supervision & team management:

Supervise non-teaching/administrative staff; assign duties, monitor performance, supervise housekeeping/security/maintenance staff, and ensure effective workflow.

Ensure compliance and confidentiality:

Maintain confidentiality of sensitive institutional information, adhere to regulatory and internal compliance norms (statutory regulations, university rules, HR policies).

Qualifications & Skills



Bachelor's degree (preferably in Business Administration, Commerce, Management, or related discipline) -- or equivalent. A master's degree / MBA is an added advantage. Several years of experience in administration -- preferably 5-10 years, and if in educational institutions/university setting then even better. Strong organizational, time-management, and multitasking skills. Ability to manage multiple responsibilities simultaneously and meet deadlines. Excellent communication and interpersonal skills -- comfortable liaising with staff, faculty, external vendors / agencies / authorities. Proficiency in office software (MS Office, spreadsheet tools), record-keeping, and basic financial documentation. Understanding of institutional/educational regulations, compliance procedures, and ability to maintain confidentiality & integrity. Leadership and staff management skills: ability to supervise, coordinate, and manage a team of non-teaching / support staff.
