Job Description

The Administrative Officer is responsible for managing and coordinating all administrative operations of the school, including supervision of sub-staff, housekeeping oversight, record maintenance, procurement, facility management, and compliance with operational protocols. The role demands strong organizational, communication, and leadership skills to ensure smooth and efficient functioning of day-to-day school operations.

Key Responsibilities:1. Sub-staff Management:



Maintain and update sub-staff attendance and biometric records. Process leave requests and substitute arrangements. Manage sub-staff files, contracts, renewals, police verifications, and appointments. Coordinate sub-staff interviews, training, appraisals, and role assignments. Conduct uniform checks and manage issuance.

2. Housekeeping Oversight:



Ensure cleanliness of the entire campus including: Classrooms, corridors, toilets, rooftops, domes, parnalas, and special areas like the auditorium and multipurpose halls. Implement and review daily, monthly, and fortnightly housekeeping plans. Supervise housekeeping group work and maintain photographic records. Handle procurement and issuance of housekeeping material.

3. Infrastructure and Facility Management:



Conduct routine rounds and inspections of the school premises. Ensure cleanliness and maintenance of guest rooms and administrative areas. Monitor solar panel cleaning and other maintenance adherence.

4. Inventory and Procurement:



Maintain ledgers, stock, and sub-stock registers. Procure and issue material and uniforms in coordination with vendors. Manage furniture and almirah allocation and records. Update guest house inventories and advance ledgers.

5. Record-Keeping and Documentation:



Update and inspect the Record Room and manage document disposal. Maintain all administrative files including key registers, sub-staff records, advance ledgers, and duty rosters. Ensure accurate coding and management of keys.

6. Event and Logistics Coordination:



Support event planning and execution within the school. Supervise mid-day and general arrival/dispersal procedures. Coordinate with vendors and service providers for logistics support.

7. Compliance and Reporting:



Ensure adherence to all operational and safety policies. Liaise with banks, external vendors, and government bodies as needed. Submit regular reports to senior management with updates and observations.

Qualifications and Experience:



Graduate degree in Business Administration, Management, or related field. Minimum 3-5 years of experience in school or institutional administration. Proficient in MS Office Suite and school ERP systems. Strong communication, coordination, and problem-solving skills.

Ability to multitask and handle pressure. Detail-oriented with strong documentation skills. Capable of handling sensitive information with discretion. Team leadership and ability to work across departments.
